Your Role

The primary mission of this role is to provide comprehensive administrative support to country HR teams. This includes managing digital employee records and HR systems, developing and ensuring compliance with HR Standard Operating Procedures (SOPs), facilitating process alignments, overseeing employee lifecycle management, handling HR communications and notifications, preparing HR reports, processing payments for HR expenses, supporting various projects, and delivering other general administrative services.

Your Responsibilities

  1. Digital Employee Records Management and HR Systems Administration:

• Maintain and update digital employee records (e.g., p-file, KN Docs) to ensure they are accurate.

• Managing HR systems (e.g., PDM, myRewards, Talmundo, myPerformance, myLearning) to support efficient HR operations.

• Ensure data accuracy, security, and integrity across all platforms.

• Regularly review system performance and provide actionable suggestions to enhance efficiency and user experience.

  1. HR Standard Operating Procedures Development and Compliance Management:

• Develop and update detailed HR standard operating procedures to maintain consistency and compliance.

• Create and revise HR forms and templates to ensure they meet organizational standards.

• Proactively identify areas for process improvement and communicate these opportunities to stakeholders.

  1. Process Alignment:

• Collaborate with cross-functional teams (e.g., IT, Finance, Branch & National Management) to standardize workflows and facilitate seamless integration of shared processes.

• Proactively communicate process alignment updates and changes to stakeholders, ensuring clarity and cooperation.

• Regularly review and analyze processes to identify misalignments, redundancies, or bottlenecks, and implement corrective actions.

  1. Employee Lifecycle Management:

• Coordinate seamless onboarding processes to ensure that new employees have a positive experience and impression of the company.

• Manage employee's probation confirmation process to ensure timely and effective evaluations.

• Manage employee transfers and promotions to ensure smooth transitions.

• Support retention efforts by collaborating with stakeholders to acknowledge and celebrate employees' jubilees, birthdays, and other milestones.

• Coordinate seamless offboarding processes to ensure departing employees have a positive experience, maintaining a good relationship and potential future connections with the company.

  1. Training Coordination

• Collaborate with ZP-D to schedule and send invitations for internal training sessions.

• Liaise with employees and external training providers to manage registration and ensure the completion of external training courses.

• Create courses and events, and update attendance records in the Learning system to maintain accurate learning records.

  1. HR Communications and Notifications Management

• Manage HR-related communications, such as notifications and training schedules, to keep employees well-informed and engaged.

• Create and maintain communication templates to ensure delivery of key messages.

  1. HR Reporting:

• Prepare and submit comprehensive HR reports to management, such as training status reports, man-hour reports, and staff listings.

• Maintain an archive of HR reports for easy access and reference.

  1. Employee Benefits and Expense Processing:

• Oversee the creation of vendor and employee creditor accounts.

• Request payments for employee benefits (e.g., removal expenses, housing benefits, school support), trainings, and other HR-related expenses.

• Coordinate with vendors and the finance team to ensure timely completion of transactions.

  1. HR Project Support:

• Assist with HR projects as requested by the country HR team, including system migrations (e.g., KN Docs, myRewards).

• Ensure all employees are informed and enrolled in company-wide trainings for new HR systems.

• Monitor project progress and provide regular updates to stakeholders.

• Support special projects such as creating and editing presentation materials, translating documents, or other ad hoc tasks to facilitate project success.

  1. General Administrative Support:

• Handle internal and external HR-related inquiries or requests, providing timely and accurate information.

• Act as a point of contact for employee inquiries, advising them on the next steps or connecting them with the appropriate person or department to ensure efficient resolution.

• Coordinate with the global support team to resolve systems issues and address inquiries promptly.

Your Skills and Experiences

  • Bachelor's Degree

  • Experienced in HR Administrative tasks

  • Highly computer literate; proficient in MS Office applications

  • High attention to detail and accuracy
