Cornell Cooperative Extension After School Program Administrative Assistant/Data Manager - Canton, NY in Canton, New York

This position will serve as an Administrative Assistant for Cornell Cooperative Extension Association of St. Lawrence County and will provide support primarily for the 21st Century Community Learning Centers Program with other programs assigned to meet the needs of the Association. Program area assignments may change based on Association needs and funding availability. This position will be responsible for the overall clerical support to the assigned programs and program areas; adhering to strict timeframes for reporting purposes and accountability; database management; supporting program area meetings; filing and organizing program materials; creating flyers and brochures; special projects, etc. This position will represent Cornell Cooperative Extension to the general public, community leaders and government officials in a professional manner. Will appreciate and embrace diversity in all interactions with clientele, staff, volunteers, and the public.

POSITION DETAILS:

This position is a full-time non-exempt position - 100% FTE, 40 hours per week. The hourly rate is $21.00. This position, based on eligibility, offers a comprehensive benefit package, to include: health and dental insurance, retirement, vacation, sick and personal leave.

POSITION INFORMATION:

Required Qualifications:

  • High School Diploma or Equivalent Education.

  • Experience relevant to the role of the position.

  • Valid NYS Driver’s License and the ability to meet travel requirements associated with this position.

  • Ability to work flexible hours which may include evenings and/or weekends, as appropriate.

Preferred Qualifications:

  • Associates Degree in Business or related field.

  • Demonstrated ability to gain knowledge in subject matter information as it relates to program area responsibilities.

  • Demonstrated ability to work effectively with co-workers, customers, volunteers, and community leaders.

  • Demonstrated ability to work proactively as a part of a team as well as independently.

  • Demonstrated ability to be adaptable and flexible to meet the needs of the program area and the Association.

  • Demonstrated ability to think independently and anticipate needs for program support purposes.

  • Demonstrated ability to communicate effectively using oral, written, and visual means.

  • Demonstrated ability to maintain confidentiality when required.

  • Demonstrated ability to relate to diverse audiences.

  • Demonstrated ability to meet deadlines and work within strict timelines.

  • Demonstrated high level of organizational skills.

  • Demonstrated high level of computer skills, and familiarity with Microsoft Office programs as well as FileMaker and Photoshop.

POSITION RESPONSIBILITIES:

Administrative Responsibilities:

Coordination/Operation - 95%

  • Provide administrative assistance in coordination of educational program goals.

  • Provide administrative support in the implementation of the program area budgets.

  • Provide administrative assistance in the implementation of communication strategies.

  • Provide support with all correspondence as needed (letters, meeting materials and agendas, etc.).

  • Record minutes of required meetings and provide meeting materials as needed.

  • Maintain program area files and information.

  • Work with program educators to create program flyers, brochures, educational materials, and other special projects as needed.

  • Take program registrations as required, track participant attendance, etc.

  • Maintain staff training records and required staff paperwork.

  • Provide support for Program Leader as needed (i.e., filing, copying, formatting correspondence).

  • Purchase and organize supplies.

  • Provide support for data entry and reporting as needed to comply with grant requirements.

  • Perform other general office duties as needed/assigned.

  • Maintain effective professional relationships with other agencies, businesses, and the public to promote efficient utilization of resources, prevent duplication or services, and support the mission and objective of the Association.

  • Prepare and process deposits of cash and checks received by the Association and forward all deposit materials to the Finance Manager.

  • In coordination with the Finance Manager, issue program related invoices.

  • Perform other financial functions based on needs of Association. This may include preparation of Accounts Payable, payment vouchers, entry of Accounts Payable invoice information into the Acumatica accounting system and copying of grant-funded expense documents.

  • Perform purchasing functions for the Association (i.e., seek out and compare prices; place orders with vendors for office, cleaning and teaching supplies; prepare purchase orders and vouchers and submit to Program Leader for approval; purchase food for programs and meetings).

Professional Improvement and Other Duties as Assigned - 5%

  • In cooperation with Supervisor, Team Leader and/or Executive Director, jointly develop and pursue a professional development plan as a means to increase competencies relative to position accountabilities and to address changes and Association priorities.

  • Collaborate in activities that are in general support of Cornell Cooperative Extension and perform other duties as assigned.

Health and Safety - Applied to all duties and functions.

  • Support the Association to maintain a safe working environment.

  • Be familiar with and strive to follow any applicable federal, state, local regulations, Association health and safety policy/procedure/requirement and standard.

  • Act proactively to prevent accidents/injuries and communicate hazards to supervisors when identified.
