  • College graduate preferred.

This is a hybrid position based on our campus in Cambridge, MA. Salary Range : $55,806 - $87,169

Note: Starting salaries typically fall in the lower half of the salary range; however, they are ultimately determined by the scope of the position, the candidate's relevant experience, and internal equity.

The Program Assistant will provide support in the following areas:

Finance: supporting the Financial Analyst with the following (35%)

  • Support processing payments to independent consultants and vendor invoices using B2P (Buy-to-Pay), reimbursements (using Concur), and other accounts payable and receivables, monitoring account balances and resolving any discrepancies.

  • Support team travel arrangements: finalizing payment for hotel, flights, trains, etc. for both domestic and international trips using Egencia and other Harvard approved travel agencies.

  • Coordinate the monthly upkeep of financial records and conduct monthly reconciliation and quarterly clearance of outstanding payable and receivables.

  • Provide other support activities, as needed (such as assist with sponsored research administration, research data management).

    Program operations support: supporting the Program Manager and Program Director (40%)

  • Support recruiting efforts by organizing applications, scheduling interviews, and preparing materials for interviews.

  • Support outreach efforts on campus and beyond.

  • Support with research fellows’ Peoplesoft paperwork and record keeping system.

  • Support onboarding process for staff and fellows including all logistical aspects (computers, supplies, etc.).

  • Support with general office administration: ordering snacks and office supplies, ensuring an organized workspace, etc.

    Sponsored research administration: provide support to Senior Sponsored Research Administrator (25%)

  • Support record keeping for projects including contracts, DUAs, IRB and Data Safety records.

  • Support with proofreading research proposal materials; and budget review.

  • Support reviewing expenses for accurate allocation to projects.

    Other duties as assigned.
