Job Description
PROGRAM ASSISTANT FOR ACADEMIC SUCCESS PROGRAMS, Office of Minority Education (OME) (https://ome.mit.edu/about/mission) , to provide administrative support to academic success programs for MIT undergraduates, with a primary focus on underrepresented minority students (African American/Black, Native American/Pacific Islander, and Latinx/Hispanic). Responsibilities include creating and maintaining program participant trackers pertaining to attendance, demographics, academic outcomes, etc.; coordinating event logistics and orientation activities; maintaining program information systems and documentation; acting as a first point of contact regarding OME academic success programs (e.g., Interphase EDGE/x (summer and academic year enrichment program), Talented Scholars Resource Room, Albert G. Hill Prize, and other relevant OME programs); maintaining the academic success program events calendar and databases; assisting with the recruitment of program participants and relevant program training; researching, engaging with, and recommending potential event vendors; assisting with tracking receipts and completing purchasing forms/documentation, developing program marketing materials, and making relevant website updates; assisting with program assessment/evaluation data entry and survey distribution; attending programming meetings/events; assisting with logistical support for summer and academic year programming; contributing content to and assisting with the development and dissemination of marketing/publicity materials; and providing additional support as assigned.
Job Requirements
REQUIRED: high school diploma or its equivalent; two years’ administrative/office/related work experience; experience with event planning, scheduling meetings, and designing advertisement materials; excellent administrative, multitasking, organizational, and oral and written communication skills; attention to detail; proficiency with Microsoft Office (specifically Excel), Doodle Poll, Drupal, database software (i.e., FileMaker Pro), Adobe Acrobat, and navigating the internet; and ability to maneuver supply/resource cart weighted at 30lbs. PREFERRED: experience working in higher education with undergraduate students, particularly underrepresented minority students; website management experience; and spoken and written Spanish language fluency. Job #23812-4Salary range: $22.00 - 26.00/hour, based on experience.Must be able to work a flexible schedule and occasional weekends. A hybrid schedule, with both remote and on-campus work, is available.This is a one-year appointment currently supported through June 30, 2025, but with the possibility of an extension.Employment is contingent upon the completion of a satisfactory background check.
