The administrative, secretarial and operational functions necessary to adequately support the departments of Public Safety, Parking and Support Services are consistently accomplished with attention to detail.

Job Description:

Primary Responsibilities (including but not limited to):

  • Ensures a positive public relations attitude.

  • Maintains positive posture, polite, and respectful communications with patients, families, visitors, and other employees, as indicated by supervisor's observations.

  • Demonstrates self-awareness in presenting positive comportment, adhering to department uniform and dress standards.

  • Performs adjacent duties as required.

  • Assists with database for ID system. Keeps all ID badge templates and records for all MAH Departments up to date. Provides badges as needed for all colleagues, visitors, students and volunteers.

  • Assists with department orientation, in-service, required training, and continuing education of department members.

  • Access Control - Maintains information received from human resources for new employees and temporary persons. Works closely with the Department of Medicine, clergy, students and Volunteers Department to ensure proper ID/parking information and distribution. Prepares photo-identification badges for required persons. Issues all other identification credentials for visiting and temporary persons, VIP’s, and the press following established policies and procedures. Programs all card access ID’s issued, and has knowledge of appropriate access of all employees and visitors.

  • Maintains all brochures and information boards that are relevant to the Public Safety department, e.g., site parking maps, transportation information board, etc.

  • Payroll management and oversight with department scheduling procedures.

  • Assists with maintenance and troubleshooting of all computers, printers, fax machines, scanner, encoder, ID camera as well as surveillance cameras and monitors.

  • Elevates problems to the OIC or Director as required.

  • Assists Director with ordering new uniforms as needed and maintains inventory data base.

  • Performs all such tasks as typing, filing, ordering supplies, etc.

  • Performs project-based assignments as requested.

  • Assists department in maintaining infant security system inventory.

  • Assists and support the department during response to all natural, internal, and external disasters.

  • Assists with organization and scheduling of Public Safety Department meetings / trainings while keeping agendas and minutes as required.

  • Tracks, stores, and compiles data for EOC, WPV, Emergency Management, and Public Safety.

Required Qualifications:

  • Adequate reading, oral, and written communicative skills, normally acquired through the completion of a high school diploma or G.E.D. equivalency. Associate's degree or equivalent in business management preferred.

  • Strong customer relations, customer service, and conflict management skills. Able to interact positively with the public as well as with hospital staff and patients’ families on a daily basis.

  • Secretarial skills, including proficiency with computer skills. Must be able to make decisions as needed.

  • Two years of secretarial/administrative work experience in a business environment.

  • High level of organizational and interpersonal skills and attention to detail.
