    Job Description

ADMINISTRATIVE ASSISTANT II, Center for Transportation & Logistics (CTL), to perform complex and diverse administrative duties supporting CTL headquarters and labs and provide a moderate level of support to CTL’s director. Will act as the first point of visitor contact; maintain listservs; edit documents; maintain common areas; solve basic computer issues; support events; provide general administrative assistance to the director and director of administration and finance and secondary assistance to other directors as needed. Support for the director includes providing basic research/fact-checking, managing his online presence, composing and editing documents, organizing special projects, and other tasks as directed. Support for the center includes responding to inquiries, greeting visitors, assisting with events, data entry, working on promotion cases, providing administrative support for multiple programs/projects, scheduling and executing meetings, supporting community engagement efforts, reviewing expenditures and/or providing recommendations for vendor selection, sharing responsibility for the reception area, handling mail, serving as a backup to other staff, and performing other duties as assigned.

Job Requirements

REQUIRED: high school diploma or its equivalent; three years’ experience in a professional administrative office support position; meticulous attention to detail; excellent administrative, organizational, time and email management, customer service, interpersonal, and verbal and written communication skills; initiative; ability to exercise good judgment, handle multiple diverse tasks simultaneously, work independently and as part of a team, and take ownership of and complete tasks with minimal oversight; discretion with confidential information; and advanced-level proficiency with Microsoft Office and Adobe Professional and proficiency with hybrid meeting hardware/software (e.g., Zoom). PREFERRED: bachelor's degree, experience working in a team-oriented environment, knowledge of department headquarters' management, experience with Drupal and Salesforce, and MIT experience.
