Silvera for Seniors is currently hiring. We are looking for a Part-Time (0.4) Permanent Receptionist for one of our Supportive Living Communities, Gilchrist Commons, located at 503 Pinestream PI NE. This position is 32 hours per pay period.
Job Objective
Reporting to the Administrative Coordinator, the Receptionist is responsible to ensure the efficient day-to-day operation of the reception area and support the work of management and other staff. Serves as an ambassador for Silvera and our seniors by providing excellence in administrative support.
Hours of Work
10:30 am - 7:00 pm, Wednesdays and Thursdays.
Duties include:
• Greet, welcome and direct residents, visitors, and families accordingly.
• Answer, screen, and forward any incoming phone calls appropriately while providing basic accurate information; answer general inquiries (telephone, email, or walk-in)
• Requires caller's or visitor's name, arranges for appointment with or notifies person called upon on caller's arrival, guides caller to destination, and records name, time of call, nature of business, and person called upon. May be required to issue visitor's pass.
• Provides general support to the Administrative Coordinator.
• Assists the Administrative Coordinator by attending meetings and taking minutes.
• Completes the Accounting for Residents as per Silvera Process, Procedure and Policy, including associated paperwork and follow-up.
• Enters maintenance work orders/requests or repairs into Yardi.
• Responds to all emergency situations including detailed data entry in Yardi.
• Provides tours to visitors and potential residents ensuring tour documentation within Yardi.
• Assists with resident orientation checklist.
• General Office Duties: Receives, sorts and distribute daily mail including deliveries from couriers and prepares the mailbag, filing, photocopying, collating, faxing, electronic filing of documents etc.
• Maintains security of the community by following procedures and controlling access to the building by monitoring building entrances, ensuring Silvera sign-in protocols are adhered to.
• Communicates all resident issues and concerns to the Administrative Coordinator, Hospitality/Culinary Services Supervisor or Community Manager in a timely manner.
• Works to support Silvera's service vision and goals, assuring consistent quality in administration duties across Silvera communities.
• Supports Administrative Coordinator in ensuring all Supportive Living Accommodation Licensing Act standards are adhered to.
• Assists Community Management in the Outbreak Response Program by recording accurate data and ensuring compliance with Silvera's Outbreak Guidelines and the Alberta Health Services Outbreak protocols.
• Support the Administrative Coordinator in arranging to fill positions for staffing coverage if applicable.
Qualifications:
• Completion of Grade 12 Diploma or a GED.
• A minimum of two (2) years' receptionist or administration experience.
• Proficient with Microsoft Office products (Excel, Outlook & PowerPoint)
• Excellent customer service skills and the ability to relate to seniors. Strong communication skills – both written and oral.
• The ability to work independently with minimal supervision.
• Time management skills to be able to prioritize activities, especially when there is a high volume of tasks.
• Attention to detail to ensure that all company memos are free of any errors.
• Positive attitude for greeting customers and clients in a professional, friendly and warm manner upon arrival to the community or through the phone.
• Communication skills to be able to communicate with internal team members or clients
• Strong organizational skills to keep multiple calendars organized.
• Administrative skills to be able to use basic computer programs including Microsoft Office
• Flexibility to be able to move between activities and duties quickly if priorities change.
