Invoicing Specialist

This is a hybrid role with the flexibility to work both virtually and from our Calgary, Alberta office

What the day will look like

  • Support Aon Client Services nationally with the preparation and production of invoices

  • Monitor and attend to requests via internal system, Polaris, that require actions promptly; process complex invoices from requests entered into internal systems,

  • Problem-solving of complex or challenging requests for invoicing

  • Interacting with Field Office colleagues in resolving invoicing issues and queries

  • Ensure the system of record (Xpress) is accurate and current to ensure outputs and client results will be produced according to guidelines and policy details;

  • Collaborate closely and be responsive to inquiries from outsourced providers to handle and ensure the timeliness and quality of outputs;

  • Support, review and assume business continuity for offshore transactional activities

  • Support internal colleagues by participating in monitoring and answering “Help Me” queries in Polaris

  • Identify and support key processes improvements to be implemented within Aon Client Services

  • Perform quality assurance of invoices processed by our offshore processing partner colleagues as well as second pass quality assurance of the offshore quality assurance team

  • Support team members when unfamiliar or complex processing transactions is a factor

  • Help colleagues troubleshoot and resolve basic client invoicing issues around ACS services;

  • Participate in internal renewal meetings where required.

  • Participate in user acceptance testing for internal systems, Xpress and Polaris, when enhancements or upgrades are planned

    How this opportunity is different

    The Invoicing specialist is a member of the team and is tasked with the fulfillment of invoice requests for our complex clients and provides a point of escalation for internal partners. In this role, you are encouraged to make decisions related to process development, implementation of compliance and procedures, coordinating with the team, advising, and supporting our Genpact invoicing team members. The Invoicing specialist ensures that complex and high revenue transactions are completed with the highest degree of accuracy, according to established timeframes and within the standards required to meet all compliance and control guidelines.

    Skills and experience that will lead to success

  • 2-4 years of related functional experience

  • Strong knowledge of Excel and the Windows environment

  • Prior experience working with tight deadlines

  • Proven self starter who can work efficiently independently

  • Demonstrated responsibility for accuracy and timeliness of work performed

  • Demonstrated initiative, teamwork and organizational skills

  • Bilingual not required but an asset

    Preferred Experience:

  • Knowledge of Workday platform is an asset
