Aston Carter Administrative Assistant in Calgary, Alberta

Aston Carter's client is seeking an Administrative Assistant to join their team! The Administrative Assistant will act act as a liason between customers and management, and be the main point of contact to customers and help maintain good relationships.

Key Responsibilities

  • Ensure customer contract requirements are administered as applicable

  • Ensure customer initiatives, special processes, data requests are fulfilled consistently, timely, and without impact to the daily work processes

  • Serve as key contact with customer groups, including development and deployment of new or revised processes to meet customer goals and satisfaction

  • Ensure client and company initiatives are deployed and requirements are fulfilled as requested

  • Collaborate with team to maintain on time shipping

  • Coordinate transportation/delivery of customers orders as required

  • Update daily KPI volume to assist operations for better visibility on productivity

  • Send customer daily dashboard and update customer with current operation status

  • Generate customers invoices based on agreed schedule

  • Audit invoice to ensure accuracy

  • Meet with operations management to capture revenue for out of service scope work performed per customer request

  • Update revenue accruals to help finance month end process

  • Report on key support areas of account performance

  • Develop/implement corrective action plans as necessary

  • Coordinate with operational managers value-added services as required by customer

  • Report department goals/metrics and assist with individual goals as necessary, to align with company, site and customer objectives

  • Participate in on-site team meetings and account / site / customer committee meetings

  • Monitor customer shipping status and call out any potential issues/delay

  • Process receiving and shipping documents accurately and in timely manner

  • Ensure that all records and reports for client activity are prepared on a timely basis and effectively maintained

  • Review daily on hold inventory report and follow up with customers

  • Identifies potential discrepancies in inventories and resolves.

  • Coordinates and performs the taking of cycle count in accordance with the client’s requirements

  • Track order and receiving accuracy on daily basis

  • Conduct weekly audits to inbounds to ensure correct description, quantity and location match WMS records

Additional Skills & Qualifications

Must Haves:

  • 1+ year administration experience (data-entry, filing, document review, reviewing & matching invoices to product, timesheet check-in & check-out)

  • Excel and MS Outlook experience

Nice to Have:

  • Direct 3rd party logistics experience

  • Experience within a logistic environment (shipping & receiving of materials)

  • Post secondary education in business or supply chain

  • Previously worked with multiple departments

  • Strong communication skills
