GeoVerra Administrative Assistant / Receptionist in Calgary, Alberta
What the position entails:
GeoVerra is currently seeking an Administrative Assistant to join our team in Calgary, AB reporting to the National Manager, Business Support. This is a great opportunity for someone looking for full-time work within a fast-paced organization. This position requires management of multiple requests and timelines while ensuring that deliverables are achieved. The ability to effectively communicate with all internal/external stakeholders is essential. This is a full time, permanent position, and will be located on-site in our Calgary Office.
What you will do:
Assist with departmental/office projects by providing assistance to all departmental staff with project requirements, correspondence, etc. especially those outlined in the Business Support Matrix.
Provide various administrative/clerical support to the office as assigned including reception
Review invoices for accuracy and support process for timely payment.
Prepares, schedules and attends various department meetings. Records and distributes minutes and create follow-up actions as required.
Support our safety program with administration of department’s health and safety documentation (ie. KPI tracking) as required.
Follows detailed administrative and procedural process that reduce redundancy, improve accuracy and efficiency, and achieve company objectives.
Supports a positive working team atmosphere and professionalism.
Identify appropriate training requirements for your role and participate in appropriate training.
Ensure active communication processes and work activities for projects and services.
Assigned tasks may include: reception coverage, purchase supply orders, booking and arranging travel, word and document processing, boardroom/meeting bookings, responding to inquiries, liaison between field and office, time and expense review/submission, LEMs, etc.
What you will bring:
Post-Secondary education is an asset.
3+ years’ experience in Administration.
Ability to identify issues as they arise and independently formulate and present solutions.
Computer proficient in MS Outlook, Word, Excel, PowerPoint, MS Teams, and Adobe Acrobat Pro/BlueBeam is desirable.
Extremely high level of discretion, confidentiality, tact and diplomacy.
Interest in continuous learning, with the initiative and desire to take on evolving and more challenging demands.
Ability to work effectively and competently with people at all levels in the organization; is a great team member.
Ability to work without supervision; effective time management and strong organizational skills.
High attention to detail and accuracy required.
Contribute on an on-going basis toward maintaining a safe working environment both for yourself and for those working with you or in your close vicinity.
Excellent written and verbal communication skills.
Ability to work to deadlines and see tasks through to completion.
Adaptable and able to think outside the box.
