Description

Executive assistants are hardworking, self-motivated individuals with excellent communication skills who provide support to President, Divisional Leadership, and the Advisory Board of Directors.


Below is a list of essential job functions. Additional responsibilities may be assigned in the position.


PROVIDE IMPROVED CLIENT SERVICE


Possesses and displays an innovative and professional approach to managing change, working and collaborating with others and adhering to policies and procedures. Schedules and coordinates logistics for leadership and advisory board meetings to deliver a smooth experience. Prepares and records vital documentation for example agendas, minutes, and resolutions for all divisional leadership meetings. Accountable to greet and screen all visitors and incoming calls for Divisional Leadership. It will also be necessary at times for you to support other members of the Support Team such as the Administrative Assistant or Portfolio Managers.

PROMOTE DIGITAL AWARENESS


Explores and educates the leadership team and clients on alternative digital channels of delivery, products, and services. Adopt and demonstrates advancements in banking technology and internal applications.


FOCUS ON ACCURACY AND ATTENTION TO DETAIL


Performs and completes requests from the Leadership team in a timely manner with accuracy in reference to; calendar management, supplies, quarterly stock compensation, Shareholder inquires, special project requests, notary and signature guarantees. Accountable to follow through on all assigned tasks and special projects.


SEEK PROFESSIONAL DEVELOPMENT OPPORTUNITIES


Enthusiastically seeks professional develop opportunities. Annual, job-specific training opportunities are assigned and/or available for timely completion. Some travel may be required.

Requirements

QUALIFICATIONS, EDUCATION, AND EXPERIENCE


To perform this job successfully, an individual must be able to perform each essential job requirement satisfactorily and a skills inventory is listed below. A high school diploma or general education degree (GED) is required, with related experience and secondary education preferred. A background check will be conducted.

  • LANGUAGE SKILLS: Ability to read, comprehend, and interpret documents. Possesses professional communication and social skills to write and speak optimally both one-on-one and before groups of clients or employees of the organization. Ability to communicate to clients directly and effectively.
  • TECHNOLOGY SKILLS: Ability to use telephone systems and possess good digital literacy including email, internet and intranet use. Prior experience or the ability to learn core system, scheduling tools, online communication portals, and any other computer programs pertinent to performing job duties.
  • MATHEMATICAL SKILLS: Ability to add, subtract, multiply, and divide in all units of measure. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • REASONING ABILITY: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to solve challenging problems involving several variables in a standardized situation.
  • PHYSICAL DEMANDS AND WORK ENVIRONMENT: The physical demands and work environment described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

This position operates in a professional office environment with considerable time spent at a desk using office equipment such as computers, phones, and printers. Noise level is moderate with constant communication and interactions with others. Ability to travel on occasion to all market areas and attend seminars or training sessions offsite.
