The Receptionist will be responsible for the day-to-day reception services based on the client site. Duties include: inbound and outbound call, parking access, help desk ticket adminsitration for facilities issues and other reception and switchboard activity, mailing, and any other facility management service provided to the client. Further responsibilities include client relationship enagagement, reporting on a regular basis.
Candidates will need to be fluent in English and Hungarian for this role.
Your main tasks:
Welcome and professional support of customers, visitors, employees, and external service providers
Always represent the company professionally
Issue and manage badges
Access, parking, and security management
Accept and coordinate incoming and outgoing calls and e-mails
Coordination of all mail correspondence and couriers (registration, distribution, preparation packages, etc.)
Order and care of office supplies
Office administration and inventory
Adhere to good housekeeping standards in the storages and manipulation of stored goods
Provision of smaller services for the customer (organize taxi transfers and timetable information)
Turn on presentations on the plasma screen
Administrative tasks
Flexibility to cover shifts from colleagues in case of holiday or sick leave
Assistance with QHSE inspections
Assist with performing office inspections; proactively report office improvements
Ensure good cooperation with local craftsmen and the Facilities Manager to ensure day-to-day operations
Tracking self-provided work and requested work via Work Order (WO) submission and assignment to responsible parties in agreement with Facilities Coordinator via Service Insight, closing WO upon completion.
Evacuation helper in case of emergency
Skills Required - Essential Experience and Skills
Min. 3 years in professional experience in a comparable activity
Strong service and customer orientation, organizational skills
Languages: native Hungarian and fluent English spoken and written
Flexibility for holiday and illness coverage
General PC and MS Officeliterate
