Administrative Coordinator - Facilities

POSITION DETAILS

Reporting to the Administrative Manager in the Department of Facilities at Brooklyn College, the Administrative Coordinator will assist and provide support for department operations including maintenance requests and budget management.

In addition to the CUNY Title overview, responsibilities include but are not limited to:

  • Coordinates the Facilities communication calendar, incoming work requests, emergency calls, and the distribution of information in both written and visual forms.

  • Coordinates Archibus: update user lists, assist in tracking preventive maintenance measures, provide unbiased and accurate collection of data, defining problem types and routing them to the correct trades.

  • Compiles and creates reports using spreadsheets and programming methods for management’s needs.

  • Assists with creating content for online information platforms, such as campus updates, public service announcements, and instructional resources, as it relates to the Office of Facilities.

  • Assists with maintaining departmental architectural archives and collections.

  • Assists with department fiscal plans and budgets; assists in budget tracking, requisition processing, and invoice processing.

  • Assists with creation of preventative maintenance requests, updating service level agreements based on industry standards and college metrics.

  • Assists with time, leave, and payroll processing, as needed.

QUALIFICATIONS

  • Bachelor’s degree required.

  • Expertise in Excel, Power BI, and ADOBE suite preferred.

  • Experience with Archibus or another IWMS system preferred.

  • Knowledge of implementing preventive maintenance measures.

  • Strong communication and interpersonal skills required.

  • Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.

  • Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections.

  • Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.

  • Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.

  • Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.

  • May supervise office staff and student workers.

  • Performs related duties as assigned.

COMPENSATION AND BENEFITS

$44,411 - $54,268; Salary commensurate with education and experience.
