Your day at NTT DATA

The Order & Billing Administrator will provide operational support to a number of different client account and to associated internal parties. Main duties are to work closely with the Sales Support and Purchasing Teams to upload client orders into SAP, manage backorder reports, sales order management, processing of maintenance paperwork for contracts and client query and escalation management.

The Order & Billing Administrator will provide operational logistics support to the business. The main responsibilities involve the tracking of stock into/out of the warehouse, working with our engineering team to co-ordinate staging of the equipment in our warehouse and finally the delivery of the customer owned stock to external sites.

What you'll be doing

Main Duties / Key Accountabilities

Task – Sales Order Management

  • Accurately upload client Purchase Orders – ensure all details are matching between client PO and internal sales order.

  • Manage all aspects of the Sales Order Cycle within SLAs, this includes:

  • monitoring ETA’s against client and project schedules,

  • Manage stock on hand – pre purchase orders & client owned equipment

  • Process order amendments

  • Sourcing alternate suppliers

  • Releasing product deliveries

  • Sourcing proof of delivery confirmation

  • Process warranty and credit return requests

  • Review warehouse quarantine cases assigned by Purchasing or Logistics teams

  • Ensure all vendor requirements are met prior to order upload to enable the order to be processed by the vendor correctly the first time.

  • Work with the Purchasing Team to ensure any order issues are resolved in an efficient and professional manner.

  • Management of sales order upload issues, including the processing of SAP iDoc errors.

  • Expedite urgent orders with the Purchasing Team to ensure client delivery time frames are met.

  • Liaise with clients and any relevant internal staff to carry out logistical functions for project sales orders within SLAs, includes:

  • Raising staging requests based off project requirements

  • Provide advanced notice to config team of equipment to be staged

  • Create internal stock transfers and/or carry out transfer posting

  • Releasing external deliveries to client or 3rd party premises as required

  • Manage and monitor all hardware orders to ensure they are pro-actively billed in a timely manner

  • Attend regular meetings with Project Mgrs, 3P Logistics Team and Sales Team

Task – Backorder Report Management

  • Access automated SAP ETA report daily and action any outstanding or problem sales orders accordingly. This should be in alignment with existing KPIs relating to:

  • Monthly utilization review of 3P (client owned) stock

  • Checking of 3P insurance report daily

Task – Forecasting

  • Conduct periodical forecast review of applicable hardware orders and confirm likelihood of billing within the current month.

  • Priorities and finalize for billing high value ‘forecasted in’ orders

Task – SFDC Case Management

  • Ensure all work requests are captured in the clients Orders queue

  • Ensure all replies to work requests are sent via SFDC

  • Ensure all unassigned work requests are allocated by COB

  • Promote the utilization of the Clients Orders queue to related internal/external parties

  • Ensure all work requests are captured in the Clients Orders queue

Task – General

  • Provide efficient, prompt, clear and concise answers to all internal and external queries. Keep Sales Support Team informed of status of request.

  • Display sense of urgency.

  • Provide peer-to-peer training as required for new team members or refresher training for existing team members.

  • Maintain a high level of initiative and enthusiasm and ensure a professional and helpful manner at all times.

  • Support, keep informed and liaise with Sales Support team on all client order issues.

  • Build and maintain relationships with internal client contacts on an on-going basis.

  • Provide feedback back on internal and external systems and procedures to management and team.

  • Perform any other reasonable and lawful duties which may be required, dependent upon the needs or demand of the company.

Requirements: Education, Training and Experience

  • Previous SAP experience preferred

  • Order processing/purchasing/supply chain/logistics experience preferred

  • Adaptable and flexible approach to changing business requirements

  • University Graduate
