JOB SUMMARY: Procurement Supervisor assists and provides oversight to departmental guidelines. Responsible and accountable for maintaining all the dispensary supplies, and assist the Director of Safety, Health & Procurement. The Supervisor is responsible to lead by example and teach/follow various protocols and procedures relative to maintain the daily operating functions of the institution. Must be available for work during clinic hours assigned for student instruction and clinic development. Attend meetings approved by SDM that require advancement of your position, in procurement.

CHARACTERISTIC JOB TASKS AND RESPONSIBILITIES:

  • Order, track and document supply inventory for the Simulation Clinic, (11) Patient Practice areas - 115 chairs and dental offices;

  • Monitor the 11 dental practices and dental offices in the area of the supply usage and inventory management;

  • Maintain inventory and accountability of all supplies and equipment;

  • Produce monthly reports on supply usage and inventory management;

  • Ensure all new items are received into the Axium inventory database and track availability accordingly; direct stock movement and dispensing of general supplies and sundries;

  • Manage barcode tracking system to limit search times and increase accountability of dental materials;

  • Request and receive sample products through vendors to limit expenses of supplemental supplies and to assist in planning for future orders;

  • Manage discount programs with vendors and identify less expensive alternatives;

  • Facilitate student returns by communicating with vendors and manufacturers directly;

  • Troubleshoot discrepancies within the ordering process;

  • Place and track paper orders via LECOM purchasing and accounting departments;

  • Perform as primary AxiUm inventory database manager;

  • Track supply usage and document in AxiUm computer program for inventory control;

  • Assist in the initial and reorder of supplies and equipment for the dental offices;

  • Ensure all incoming supplies are appropriately processed in accordance with the hazard communication policy;

  • Receive hazardous materials and biohazardous waste, store items and facilitate disposal and/or recycling program in accordance with local, state and federal laws;

  • Assist in maintaining inventory and accountability of all dispensary supplies;

  • Maintain barcode-tracking system to mitigate search times for products;

  • Request and receive sample products through vendors to limit expenses of supplemental supplies;

  • Discuss discount programs with vendors and identify less expensive alternatives;

  • Place and track orders through Vendors via LECOM staff in both Florida;

  • Troubleshoot discrepancies within the order process;

  • Prepare cost analysis for upcoming orders and assess for possible discounts;

  • Ensure dispensary has ample supplies for both students and faculty;

  • Work with faculty and staff to trend upcoming usage and order supplies accordingly;

  • Contribute directly to the Mission of LECOM embodying the essence of Osteopathic Principles and Practices by assisting with Institutional fundraising and participating in the LECOM Scholarship Auction;

  • Commit to being a representative of LECOM by being actively involved in the community, including, but not limited to, serving on Boards, participating in community fundraisers and overall outreach;

  • Accept other duties needed/assigned for the departmental needs.

Minimum Requirements

KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS: Must possess required knowledge and be able to explain and demonstrate, with or without reasonable accommodations, that the essential functions of the job can be performed.

  • Effective communication skills, both written and verbal;

  • Knowledge of dental equipment, dispensing and procedures within dentistry or other related field;

  • Ability to work effectively under pressure in a fast paced environment;

  • Must possess required knowledge and be able to explain and demonstrate, with or without reasonable accommodations, that the essential functions of the job can be performed;

  • Computer experience in the dental or other related field to allow for AxiUm computer program entry;

  • Compliance with State and Federal Regulations and Safety Protocols, at the practice level;

  • Knowledge of patient’s privacy (HIPAA) and student privacy (FERPA);

  • Follow proper OSHA and safety guidelines; Protect equipment (office, dental, facility);

  • Strong computer skills are essential (MS Office Suit [i.e. Word, PowerPoint and Excel…etc.]) and accurate data entry skills;

  • Excellence organizational skills must be accurate and attentive to detail;

  • Must be trained and certified on the Institutional Data System;

  • Maintaining an established work schedule;

  • Effectively using interpersonal and communications skills including tact and diplomacy;

  • Effectively using organizational and planning skills, including attention to detail and follow-through;

    MINIMUM QUALIFICATIONS :

    Education and experience equivalent to: an undergraduate degree in Business, Finance, Procurement and/or other related field with two to four (2-4) years’ of experience in procurement or similar field required. CPR and first responder certification preferred.
