Job Description: As an Administrative Assistant you will play a crucial role in supporting the daily operations of our office. The ideal candidate will have experience in QuickBooks and administrative tasks, ensuring the smooth and efficient functioning of our office. Qualifications:

  • Proven experience as an Administrative Assistant or in a similar administrative role.

  • Proficiency in QuickBooks is required.

  • Experience with accounts payable, accounts receivable, and reconciliation processes.

  • Excellent organizational and multitasking abilities.

  • strong communication and interpersonal skills.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

  • Ability to work independently and as part of a team.

  • High school diploma or equivalent; an associate's or bachelor's degree is a plus.

salary: $45,000 - $52,000 per year

shift: First

work hours: 8 AM - 5 PM

Responsibilities

Key Responsibilities:

  • Perform general administrative duties such as answering phones, managing correspondence, and scheduling appointments.

  • Utilize QuickBooks for various accounting tasks including invoicing, expense tracking, and financial reporting.

  • Assist with accounts payable (AP) and accounts receivable (AR) processes.

  • Perform regular reconciliations of accounts and financial statements.

  • Manage and organize office supplies and inventory.

  • Assist in preparing and editing documents, reports, and presentations.

  • Coordinate meetings and events, including preparing agendas and taking minutes.

  • Maintain accurate and up-to-date records and files.

  • Provide administrative support to the management team and other departments as needed.
