Position Summary

The Payroll Manager oversees all aspects of payroll operations for WKU, including daily managerial, administrative support, and all payroll processes for the Payroll Office. This position plays a critical role in ensuring accurate and timely processing of payroll in accordance with relevant regulations, contracts, and policies, ensuring compliance with all federal, state, and local tax regulations, and providing excellent service to WKU employees.

The position provides oversight and supervision of payroll professionals and reports to the University Controller/Treasurer.

Primary Duties and Responsibilities

The following duties are customary for this position but are not to be construed as all-inclusive. Duties may be added, deleted and assigned based on management discretion and institutional needs.

  • Lead and manage payroll professionals, providing guidance, support, and mentorship to ensure high performance in a collaborative and customer-focused work environment that prioritizes accuracy and efficiency.

  • Oversee the day-to-day operations of the Payroll Office, including payroll processing, tax withholding, and payroll-related deductions.

  • Prepare and submit federal, state, and local payroll reporting requirements, including W-2s, 941s, and other tax filings, accurately and on time. In addition, submit tax deposits for federal, state, and local withholdings.

  • Ensure accurate calculation and distribution of salaries, wages, and other compensation for all WKU employees.

  • Collaborate with human resources, information technology, and accounting teams to ensure accurate and timely processing of payroll updates including new hires, promotions, terminations, and changes to pay rates.

  • Implement and maintain payroll policies, procedures, and controls to ensure compliance with federal, state, and local regulations.

  • Manage accurate record-keeping, account reconciliation, and year-end closeout procedures.

  • Collect and prepare state pension reporting requirements accurately and on time. In addition, submit remittances for state pension retirement plans.

  • Communicate with employees and outside agencies concerning payroll and deduction matters.

  • Calculate and process associated withholdings for tuition waiver benefit.

  • Participate in periodic payroll systems improvement testing and implementation.

    Job Requirements:

  • Bachelor's degree in accounting or related field

  • At least three years of payroll experience

  • Previous supervisory experience

    Additional Information:

Salary Range: $64,975 - $74,600
