Advancement at CU Boulder encourages applications for an Executive Assistant! The Executive Assistant (EA) will support the Associate Vice Chancellor, Development and provides expert administrative and operations management oversight.

The Executive Assistant is expected to operate with independence and sound judgment, will have the highest degree of integrity and with complete discretion, manage evolving, confidential, and sometimes competing matters of significance. This role maintains productive working relationships with members of the advancement division, senior leadership in different units across campus, the CU System, and the CU Foundation.

The Executive Assistant performs primary, sophisticated, diversified, and confidential operational and administrative support duties, correspondence and communications, requiring broad and comprehensive experience, skills and knowledge of organizational policies and practices. This position provides professional, executive-level direction to the Associate Vice Chancellor, Development's alignment.

This position requires a high degree of administrative authority, independence and confidentiality in several areas within the Office of Advancement. The EA routinely makes operation level decisions in support of the Associate Vice Chancellor, Development and independently interacts and exchanges information with other support staff in the university and college's upper-administrative structure. This position works effectively in a demanding environment, anticipate needs proactively, appropriately evaluate priorities, manage multiple concurrent assignments, use independent judgment and decision-making skills to assess situations and will initiate appropriate actions or responses.

What Your Key Responsibilities Will Be

Administrative Support

  • Support and facilitate priorities of Associate Vice Chancellor, Development through active calendar management, meeting coordination and special or ongoing projects.

  • Liaise with Associate Vice Chancellor, Development's alignment to include: Principal Giving and Strategic Initiatives, Campaign Planning and Strategy, Data Insights, Donor Relations, Industry and Foundation Relations, Campus Institutes; as well as, the CU System embedded teams for Gift Planning, Research and Prospect Development.

  • As a member of the administrative staff for Advancement leadership, assist with division-wide events and projects.

  • Create both simple and sophisticated digital meeting materials via Excel and PowerPoint. Edit, review, and share materials as needed.

  • Provide follow-up to meeting participants on behalf of Associate Vice Chancellor, Development and track/meets set timelines.

  • For small and large groups, coordinate internal and external meetings with campus leadership, CU Foundation, system colleagues and donors. Manage room reservations, meeting invitations, clarity of agendas, A/V needs and catering. Supervise relevant action items and decisions.

  • As a supportive partner, identify creative solutions to administrative challenges across the division when they rise to the level of the leadership team.

  • Manage all aspects of travel for Associate Vice Chancellor, Development including flights, hotels, and expenses.

  • Maintain awareness of additional approval needs within alignment of the Associate Vice Chancellor, Development.

  • Practice awareness and adherence to all CU policies and guidelines and research solutions as needed.

  • Represent the Associate Vice Chancellor, Development in email communications, meetings, etc.as requested.

  • Serve as back up administrative support to other Leadership Team members, as needed.

Operations and Project Management

  • Maintain operations oversight and complete deliverables on multiple concurrent high priority projects under the guidance of the Associate Vice Chancellor, Development and work towards exercising autonomy in this area.

  • Assist with supervising progress toward meeting or exceeding annual fundraising goals/metrics for units within the alignment. Works in partnership with Advancement's Data Insights team as needed to meet this result.

  • Help with supervising alignment's annual operating budgets to ensure programs and units are operating in a fiscally prudent and productive way.

  • Pulls and prepares reports and spreadsheets from the donor database, enters contact reports, and submits proposal and pipeline updates on behalf of Associate Vice Chancellor, Development.

  • Complete deliverables and coordinate efforts on projects to stay on schedule and accomplish defined objectives to include but not limited to the following:

  • Assist in recruitment and onboarding of unit leads in the Associate Vice Chancellor, Development's alignment. This may include sophisticated search efforts to fill positions reporting to the Associate Vice Chancellor, Development.

  • Organize and complete development alignment team meetings and retreats.

  • Assist in defining and implementing key operations within the Associate Vice Chancellor, Development's alignment (i.e., plans, policies and procedures).

  • Assist the Associate Vice Chancellor, Development with scoping and facilitating Leadership Team decisions and directives that impact development alignment.

  • Serve as scrum master for Development alignment's kanban board.

  • Review purchases and approve assigned shopping carts within the CU Marketplace.

  • Serve as delegate and approval authority for expense and leave reports in Concur for the Associate Vice Chancellor, Development.

  • Submit expense reports for the Associate Vice Chancellor, Development.

  • Identify and approve purchases required to fulfill operational project-based needs.

What We Can Offer

The salary range is $65,000 - $75,000 annually. Relocation assistance may be available within department guidelines.

What We Require

  • A Bachelor's degree or equivalent experience or combination of education and experience.

  • 3 years of experience that includes the following:

  • Experience in an Executive Assistant position or similar, which includes calendaring and supervision.

  • Providing professional-level operations or administrative support for executive level positions.
