Job Summary

Langan is seeking an Administrative Assistant to join its collaborative team in Boston, MA. You will serve a key function in providing administrative support to the entire office. In this role, you will have the opportunity to partner closely with office leadership in completing projects that drive operational success for the company. Job Responsibilities

  • Schedules and coordinates meetings, events, interviews, annual performance review meetings, and appointments;

  • Arranges complex and detailed travel plans and itineraries;

  • Maintains individual, project and/or group calendar and assists office leadership in staying updated on daily priorities as assigned;

  • Coordinates sending and intake/distribution of mail and packages;

  • Composes and edits plans, specs, reports, memoranda, and correspondence for office leadership and technical staff, as requested; Maintains corporate contact lists, files, databases, records and other client management documents;

  • Creates, compiles, edits and/or formats presentations, technical reports, and proposals, as directed;

  • Retrieves and inputs data to create figures for reports, as directed;

  • Assists with timely submission of employee timesheets and expense reports;

  • Acts as back-up for office services, IT, Marketing and HR to provide coverage when needed;

  • Coordinates with third party vendors and serves as the main point of contact for building management, security, and maintenance;

  • Coordinates and executes events including client parties, internal events, and luncheons;

  • Facilitates new employee onboarding and exiting employees;

  • Submits and reconciles expense reports for office, senior level management and project related needs;

  • Records agenda and minutes for monthly committee meetings;

  • Tracks continuing education (PDH) credits for professional engineers to maintain licensure in various states;

  • Performs light cleaning/tidying around kitchen and common areas; and

  • Performs other duties as requested.

Qualifications

  • High School degree required, bachelor’s degree preferred;

  • 2+ years of Administrative Assistant experience, preferably within the Professional Services sector;

  • Ability to maintain confidentiality;

  • Strong sense of initiative and flexibility;

  • Excellent communication and interpersonal skills;

  • Strong attention to detail with excellent analytical, multitasking, organizational and judgment capabilities; and

  • Ability to work effectively independently and in a team environment.
