Summary :

The Donor Relations Team acts in their own capacity for personal goals and communicate, collaborate, and coordinate our efforts to achieve strategic goals of acquiring, retaining and growing the individual giving program at IdahoPTV. This position supports the activities of the Donor Relations Team to manage, implement, and maintain automated records systems; act as resident expert for a technical agency program(s) and data; perform liaison duties with internal and external customers; perform related work . This position will analyze the data and make fundraising recommendations to the Donor Relations Team.

Level Scope :

Incumbents:

1) I ndependently manipulates data and regularly creates reports, using critical thinking and initiative to analyze and present data effectively.

2) I dentif y key insights from data and makes informed recommendations to enhance fundraising strategies.

3) E xercises initiative and personal knowledge to independently manage data-related tasks, moving beyond basic data entry to contribute strategically to the organization's fundraising effectiveness.

Knowledge, Skills, and Abilities :

  • Incumbents must have a solid foundation in data management, with the ability to independently manipulate and analyze data across multiple software systems. Proficiency in designing and maintaining manual and computerized filing systems is essential, along with data uniformity and accuracy.

  • The incumbent must be skilled in querying databases, creating individualized reports, and presenting data visually through graphs and reports. Additionally, they will serve as the quality control point for program-related databases, develop and implement operating policies, and act as a subject matter expert, providing cross-departmental training on system usage.

  • Effective communication skills are necessary to liaise effectively with internal and external stakeholders, and the ability to troubleshoot and resolve system-related inquiries is critical.

    Essential Functions :

    6 0% of the time the Program Information Coordinator must:

  • Serve as the quality control point for program related databases. Responsible for the development and implementation of operating policies and procedures .

  • They design manual and computer filing systems and are responsible for ensuring the uniformity of data .

  • Incumbents maintain close contact with other departments and agencies to correct and update the database and advise users on how to obtain or submit information or documents. They serve as the helpdesk for system-related inquiries or problems.

  • A key responsibility is to provide individualized reports as requested by system users. These reports involve querying databases to obtain individualized information .

  • Incumbents in these positions are considered the program experts and have a strong training role for system usage. The training role crosses unit, department, and agency lines .

    3 5% of the time the Program Information Coordinator must:

  • Become the subject matter expert for donor database, wealth engine software and digital marketing software systems, in addition to future software systems that will be needed to further advance the fundraising abilities of the department.

  • Using data gleaned from donor relations specific software and collaborating with the IT department using additional data tracking means, create reports, graphs and visual presentations for the Development department.

  • Using analytic knowledge and experience to make recommendations for the growth of fundraising initiatives of the Development Department.

  • Liaison with internal and external constituents to perform related work.

    5% of the time the Program Information Coordinator must perform other duties as decided by department needs.

    Minimum Qualifications :

  • Experience that demonstrates good knowledge of manual and automated record management systems

  • Experience using a personal computer for data management and statistical analysis

  • Experience interpreting and applying laws, rules, and procedures

  • Experience performing liaison activities to deal with individuals or resolve conflicts in a work setting

  • Some knowledge of personal computer trends, capabilities, and terminology

  • Experience managing document flow.

    Preferred Qualifications:

  • Experience working with Allegiance CRM or similar software application

  • The ideal candidate will possess critical thinking skills and initiative.

  • Ability to identify key insights and make strategic recommendations that align with the Development Department’s fundraising goals.
