Position Summary:

Florida Atlantic University, Office of the Registrar is seeking an Assistant University Registrar - Boca Raton, FL.

Summary of Responsibilities:

  • Plays a key role in planning and executing the university’s commencement ceremonies at the end of the fall, spring, and summer terms.

  • Works closely with the Associate Registrar and Registrar to ensure smooth and successful events. Responsibilities include coordinating with internal and external vendors, designing ceremony seating charts, managing graduate attendance and guest ticket distribution, and addressing VIP guest and special accommodation requests.

  • Oversees the setup of the ceremony stage, ensuring all elements are arranged as planned and meet the event's standards.

  • Leads the processing of all graduation applications and the awarding of degrees at FAU: Manages the entire graduation cycle, including the upkeep of the Graduation Task calendar and website, the generation and dissemination of degree certification reports to colleges, and the rigorous oversight of all degree certification systems and processes, ensuring absolute accuracy and compliance with institutional standards.

  • Directs the secure and accurate generation and distribution of diplomas: Oversees the entire diploma issuance process.

  • Responsible for ensuring the integrity and security of diploma inventory.

  • Serves as the subject matter expert on degree certification and commencement policies: Advises and supports colleges on complex policy matters, ensuring all degree certification and commencement procedures are aligned with university standards and regulations.

  • Supervises and leads the graduation team: Serves as the direct supervisor and provides leadership and direction to the graduation team, which consists of two direct SP reports. Ensures high levels of performance, adherence to critical processing deadlines, and the seamless execution of all commencement-related activities. In the lead-up to commencement, assigns specific ceremony duties to the Registrar’s Office commencement team staff. During the ceremony, oversees the broader graduation team, comprising approximately 75% of the Registrar's staff, ensuring they effectively fulfill their assigned tasks.

  • Leads and oversees faculty Marshal rehearsals, ensuring all participants are fully prepared for their roles. Responsible for coordinating and directing rehearsals for new ceremony readers and platform party participants, ensuring they feel prepared to perform their duties during the ceremony.

  • Communicates critical graduation and commencement information: Ensures that key dates and important details are effectively communicated to all FAU stakeholders, including students, parents, faculty, and staff, providing expert guidance and assistance to all parties involved in the commencement process.

  • Handles obtaining quotes and invoices from vendors for graduation and ceremony-related item.

  • Works closely with the Registrar Office’s IT team to ensure graduation webpages, electronic communications, and graduation reporting needs are accurately met. Coordinates with FAU’s OIT Department to ensure that any external systems related to graduation are functioning correctly.

  • Maintains and manages graduation-related items and inventory, ensuring all materials are well-organized and readily available for ceremonies.

  • Other job-related duties as assigned.

Minimum Qualifications:

Master's degree from an accredited institution in an appropriate area of specialization and two years of appropriate experience; or a bachelor's degree from an accredited institution in an appropriate area of specialization and four years of appropriate experience required.

Preferred Qualifications and Skills:

Experience with Banner Student Information System and degree audits.

Experience working in an advising office, admissions office, or registrar's office.

Supervisory experience.

Excellent communication and interpersonal skills.

Experience working in a fast-paced environment.

Experience working with data that requires attention to detail.

Salary:

$51,500.00 per year.
