City of Blue Springs Customer Relations - Community Center 5am-1pm in Blue Springs, Missouri

As a Customer Relations Representative for the Blue Springs Fieldhouse, you will perform a variety of duties including assisting the public with membership inquiries, managing membership records and ensuring accuracy of billing records. This will requires basic account reconciliation as well as the ability to balance receipts.

THE HOURS FOR THIS POSITION ARE 5:00 AM - 1:00 PM

Duties and Responsibilities:

Facilitates and oversees the ordering, record keeping, and budgeting for the department's participation in the Missouri Parks and Recreation Association's ticket consignment program.

Administers RecTrac program; ensures accurate data and addresses any software issues/updates with the vendor. Provide appropriate reports from the program. Ensure confidentiality of all data.

Attends assigned meetings of the Park Commission and other Boards and Commissions as assigned; prepares and distributes agendas; records, prepares and maintains minutes of meetings and distributes them to appropriate officials, staff and public.

Primary contact for shelter rentals and associated reports.

Maintains files and records of the department, ensuring records are kept and destroyed according to legal guidelines.

Schedules and provides daily work task supervision of part-time Front Desk Attendants at the Blue Springs Fieldhouse. Ensures employees are trained appropriately; handles employee issues and consults with the manager, director, or human resources as needed.

Responds to inquiries from the public, answer questions and provide information whenever possible, referring to appropriate staff when necessary. Provide tours to prospective members.

Accepts registrations and payments for programs, memberships, and facility reservations.

Assist with administrative tasks and special projects including, but not limited to data entry, reporting, mailings, filing, typing letters, memoranda, reports and other documents, etc.

Maintain the front desk area in a clean and organized manner.

Attend appropriate staff trainings and ensures policies and procedures are followed.

Assist with other duties as assigned.

GENERAL QUALIFICATIONS:

Education and Special License(s)/Certifications - High school diploma or equivalent, with two years of business college studies preferred.

Experience – One to three years of experience in a related field, supervisory experience preferred.

Skills - Skill in operating general office equipment such as computer, phone, copy machine, Experience with Microsoft Office suite – Word, Excel, Outlook, Access etc. Knowledge of general office procedures. Excellent customer service skills.

Competencies: Ability to establish and maintain effective working relationships with city officials, employees, and the public. Ability to communicate effectively, both orally and in writing. Ability to maintain clerical records and prepare reports. Ability to perform tasks with minimum supervision. Ability to follow oral and written instructions.

Physical Requirements - Must be able to sit for prolonged periods; must be able to listen to normal conversation; must be able to walk occasionally, and use hands and fingers to operate, handle, or feel objects, tools, or controls; must be able to reach with hands and arms; must be able to have vision sufficient to see close up and have the ability to adjust focus; and, must be able to occasionally lift up to 25 pounds and transport it 15 feet.

Supervisory Responsibility – Scheduling and supervision of daily work tasks of assigned staff.
