Budget Title: Senior Staff Assistant (SL-3)

Salary: Commensurate with experience

The School of Pharmacy and Pharmaceutical Sciences at Binghamton University is seeking a senior staff assistant to support the Dean's Office. The ideal candidate is professional, organized, proactive and can adapt well to changing priorities in a fast-paced environment. The candidate must demonstrate the ability to manage and prioritize multiple tasks simultaneously, problem solve, maintain confidentiality, and work effectively as a team member. Attention to detail and outstanding verbal and written communications skills are essential.

Primary duties and responsibilities include:

  • Provide Dean's Office coverage and administrative support including but not limited to providing reception in the Dean's Office; assisting visitors, students and faculty; and answering phones. As the first point of contact for the Dean's Office, maintain the highest level of professionalism and confidentiality

  • Manage the Dean's calendar; respond to inquiries, emails and document requests; compose and process Dean's Office correspondence, mail, data and reports. Manage school-wide communications

  • Provide direct administrative support to the Dean, including travel arrangements, itineraries and agendas, and complete travel reimbursements, while adhering to University guidelines

  • Create, organize and maintain school-based data, records, presentations, minutes and documentation

  • Handle purchasing for the Dean's Office/School, assist with expense reporting and managing Dean's Office budgets, including Binghamton University Foundation accounts

  • Coordinate school events including, but not limited to, committee meetings, workshops, healthcare system visits, donor visits, accreditation activities and professional organizations

  • Support candidate recruitment process and faculty promotion and tenure process

  • Accurately input, manage and maintain information in the operational databases and systems of the school. Assist with course building

  • Support the Pharmacy Leadership Team as needed in school initiatives, proposals, projects and new programs. Assist in updating and maintaining school's policy and procedure database

  • Responsible for coordination and supervision of work-study students

  • Provide support for administrative, HR, and operational functions of the school, including building use and events, receiving, and space management

  • Maintain the ability to troubleshoot issues, identify and report errors and problems, and participate in the improvement of processes as necessary

    Job Requirements:

Visa sponsorship is not available for this position

  • Bachelor's degree

  • Minimum 3-5 years of administrative support experience, preferably in higher education

  • Microsoft Office Suite proficiency, especially in Word, Excel and PowerPoint.

  • Strong organization abilities

  • Excellent oral and written communication skills

Preferred:

  • Administrative support experience in higher education
