Provider Onboarding Specialist

Employment Status: Full-Time (.75 or greater)

Hours per Pay Period: 1.00 = 80 hours (Exempt)

Starting Wage DOE: $22.78 - $28.48

Position will be responsible for coordinating onboarding of Physicians, Advanced Practice Providers, and other positions as assigned within Billings Clinic. Position will monitor provider onboarding processes within the physician practices and coordinate the efforts of multiple departments including the physician practice, HR, and credentialing. Will be responsible for addressing and resolving obstacles that may arise in the physician onboarding process. Will be an engaged and helpful resource to providers prior to their start date at Billings Clinic. This position provides individual assistance to new providers assisting them to navigate the numerous groups that interface with the physician obtaining appropriate access to systems. Position requires strong communication, organizational, analytical, and multi-tasking skills. Position must possess a professional demeanor that is highly customer focus oriented because of direct daily interactions with internal and external customers including physicians, and allied health staff. Essential Job Functions

• Determine the groups that the new provider needs to interact with based on the role the provider will be performing to ensure they have all the necessary system processes and orientation complete.

• Single point of contact for all new provider onboarding steps; ability to track and manage multiple new providers’ progress through the onboarding process including tracking credentialling status and occupational requirements.

• Follows up with provider on outstanding materials due to Billings Clinic for onboarding purposes, as well as departments within Billings Clinic.

• Ensures provider can start with Billings Clinic in a timely manner that supports the provider transition and patient care needs.

• Participates in process improvements to ensure Billings Clinic is perceived as an employer of choice.

• Establishes and promotes a collaborative relationship between the various onboarding groups to ensure a smooth onboarding process.

• Supports and models behaviors consistent with Billings Clinic’s mission, vision, values, code of business conduct and service expectations. Meets all mandatory organizational and departmental requirements. Maintains competency in all organizational, departmental and outside agency standards as it relates to the environment, employee, patient safety or job performance.

• Performs all other duties as assigned or as needed to meet the needs of the department/organization.

• Works independently, with freedom to determine how to best accomplish functions within established procedures. This position confers with leadership on any unusual situations. Internal customers include Practice Management, and Physician Leadership, and various departments. External customers include new providers. This position requires making decisions related to onboarding new providers. Decision making required for escalation of concerns or issues that would impact provider transition dates and patient care.

• Requires excellent organizational and communications skills. Requires effective writing skills, good time management skills, strong follow up, and knowledge of word processing and database software applications. Also requires a good understanding of process improvement. This position requires strong communication and organizational skills.

Minimum Qualifications

Education

• Minimum High School or GED

• Preferred 2 Year Associate's Degree

Experience

• 3 years administrative and/or customer service experience in a related area.

Or an equivalent combination of education and experience relating to the above tasks, knowledge, skills and abilities will be considered
