Position Title: Administrative Assistant I, II, or III (Maintenance Engineering)

OPEN UNTIL FILLED

Department/Location: Maintenance/Beulah, ND

Position Purpose:

This position performs administrative and secretarial duties for the Maintenance Engineering Department.

Essential Functions:

  • Provide administrative assistance for the Maintenance Engineering group including preparing & typing routine correspondence, contracts, manuals, reports, forms, procedures, and other documents, and proofreading documents for typographic or grammatical errors.

  • Perform data entry and maintain the APM database, as well as other computer databases, filing and recordkeeping required for DGR 1910.119 Process Safety Management Mechanical Integrity Program.

  • Prepare material requisitions within Asset Suite for inventory use and to update equipment/component information as directed by the engineers.

  • Issue and document design/repair packages and technical reports.

  • Type and update procedure manuals for distribution.

  • Maintain a systematic filing system, answer and screen telephone calls and visitors, respond to routine questions, sort and deliver mail, follow procedures in processing outgoing mail, and completes routine photocopying.

  • Perform general office duties such as scheduling appointments, arranging meetings, and making travel arrangements. Makes on and off-site inquiries when needed and deliver messages.

  • Perform typing duties, prepare correspondence using plant-wide administrative standards for headings, format, and terminology. Compose correspondence and type letters and memos from general instructions. Type, reproduce, and distribute reports.

  • Maintain accurate records of staff certifications, training records, and renewal dates.

  • Maintain work area in a neat, orderly, and efficient manner, and exhibits professionalism in dealing with others.

  • Attend all scheduled safety, training, and department meetings as required.

Qualifications:

Administrative Assistant I:

  • Associate degree in administrative assistance, business or related; and one year of administrative support experience; or

  • High school diploma or equivalent (GED or HSED) and; 3 years of administrative support experience.

Administrative Assistant II:

  • Associate degree in administrative assistance, business or related; and 3 years of administrative support experience; or

  • High school diploma or equivalent (GED or HSED) and; 5 years of administrative support experience.

  • Able to work with minimal supervision.

Administrative Assistant III:

  • Associate degree in administrative assistance, business or related; and 4 years of administrative support experience; or

  • High school diploma or equivalent (GED or HSED) and; 6 years of administrative support experience.

  • Able to work with minimal supervision.

Other Requirements:

  • Strong interpersonal, written and verbal communication skills.

  • Proficiency in personal computer operation and Microsoft Word, Outlook, and Excel.

  • Resume required.

Typical Physical/Mental/Environmental Demands:

This position requires continuous sitting and use of keyboard/computer; occasional standing, walking, bending, reaching, and lifting and carrying up to 10 pounds. Uses office equipment such as personal computer, photocopier, fax machine and calculator. Requires good finger dexterity, good color and binocular vision, hearing, ability to speak, and the ability to perform close work. Must be able to conduct research and prepare final reports from drafts and implement office procedures. Must have the ability to communicate with a wide variety of people, and work under stress and with interruptions to complete projects within deadlines.
