THIS POSITION IS CONTINGENT UPON BID AWARD

The Admissions Counselor will support the Uniformed Services University’s Office of Recruitment and Administration and be responsible for all of the administrative processes related to the total applicant pool.

Responsibilities

  • Conduct initial reviews of the application from the American Medical College Application Service (AMCAS) which will include transcripts, citizenship, age, military status, prerequisites, and baccalaureate degree.

  • Review USU secondary materials, which consists of evaluating individual and pre-medical committee letters of recommendation, personal statements, achievements, extracurricular activities, experience of applicants, and letters of approval for military personnel to determine eligibility for admission.

  • Prepare all necessary documentation for referral to the next step in the Admissions Committee review process.

  • Monitor the medical and security status for applicants that have been invited for an interview.

  • Serve as the Admissions Counselor to their clients by responding to applicant questions and concerns regarding admissions policies, procedures, course requirements, and other related information via in person, by telephone, or virtual platform, such as Google Meet, Zoom, Microsoft Teams, etc. counseling sessions.

  • Respond to applicants’ application review requests to improve their chances on reapplication by assisting with and coaching applicants with written feedback.

  • Engage with the applicant, after they have received assistance if they have further questions.

  • Responsible for all correspondence, to include acceptance, rejection, as well as Congressional inquiries.

  • Answer all inquiries from potential applicants.

  • Notify those who wrote letters of recommendation for their matriculants.

  • Accurately code and manage the application at every stage of the process, e.g., primary, secondary, interview, conditional offer, unconditional offer, ejections.

  • Brief potential applicants in a group setting on the AMCAS and USU application process to include the prerequisites, curriculum, pay, benefits, obligation and residency programs.

  • Escort guests on USU tours. These briefings will occur in a variety of settings to include: on campus, college/graduate school fairs, open houses, high school groups, etc.

  • Responsible for all the administrative duties that are associated with this interview day events.

  • Other duties as assigned.

Qualifications

  • Bachelor’s degree in education or relevant field, Preferred.

  • Minimum three (3) years’ experience in college admissions.

Knowledge, Skills and Abilities

  • Knowledge of higher education admission processes.

  • Professional, poised, and articulate in dealing with both the public as well as with university staff.

  • Proficiency in the use of office automation systems and various software packages automation equipment such as WebAdMIT, and Microsoft Office Suite.

  • Familiarity with desktop and web-based conferencing tools – Zoom, Google Meet, and Microsoft Teams.

  • Knowledge and understanding of the USU/University organization, function, operations, and procedures.

  • Skilled in written and spoken communications.

  • Strong skills in customer relations.

  • Strong organizational and multitasking abilities.

  • Ability to support events after hours, if needed.

  • While performing the duties of this Job, the employee is regularly required to sit and talk or hear. The employee may use repeated motions that include the arms, wrists, hands and/or fingers.
