Description

We are seeking an Executive Assistant to join our healthcare team based in BERWYN, Pennsylvania. You will be responsible for a variety of administrative tasks, including managing calendars, arranging travel, and handling expenses. This role offers a contract to permanent employment opportunity and is fully on-site. It's a highly active role that requires excellent organization skills, the ability to manage multiple tasks, and a strong team-oriented mindset.

Responsibilities:

• Manage and organize multiple calendars for top executives, ensuring all appointments and meetings are accurately scheduled and conflicts are resolved promptly.

• Coordinate travel arrangements both domestically and internationally for the CFO and President, including flight bookings, accommodations, and transportation.

• Handle expense reports using Concur Expense, ensuring all receipts are tracked and expenses are submitted in a timely manner.

• Assist in setting up meetings, including internal team meetings and external client/vendor meetings.

• Answer inbound calls professionally and respond to inquiries in a timely manner.

• Provide support in a high-energy team environment, stepping in to assist colleagues when necessary.

• Use Microsoft Office Suites effectively to create and manage documents, spreadsheets, and presentations.

• Book travel arrangements and handle other logistics as needed.

• Maintain a fast-paced office environment.

Requirements • Minimum of 2 years of experience as an Executive Assistant within the Healthcare/NHS industry

• Proficient in Calendar Management to organize and schedule appointments and meetings

• Advanced knowledge of Microsoft Office Suites for document creation, data management, presentations and communications

• Experience with Concur Expense for managing and reporting expenses

• Ability to handle and respond to inquiries professionally and promptly

• Experience in answering inbound calls and providing necessary assistance or information

• Proven track record in arranging travel for executives including flight, hotel, and transportation bookings

• Skills in booking travel arrangements efficiently and cost-effectively

• Strong written and verbal communication skills

• Excellent organizational and multitasking abilities

• Detail-oriented with a high level of accuracy in work

• Ability to maintain confidentiality and handle sensitive information with discretion.
