Robert Half Executive Assistant in Berkeley, California

Description We are looking for an Executive Assistant to join our team based in Berkeley, California. The role involves providing comprehensive administrative support to the CEO in a fast-paced environment. This is a long-term contract role that requires someone with strong organizational skills and the ability to manage multiple tasks simultaneously.

Responsibilities:

• Manage the CEO's calendar meticulously, ensuring all appointments and meetings are scheduled efficiently • Coordinate meetings, including uploading necessary documents to shared drive and creating meeting agendas • Take minutes during meetings and distribute them to relevant team members • Arrange light travel itineraries, including booking flights, accommodations, and arranging transportation • Execute special projects as directed by the CEO • Coordinate events, ensuring all logistical details are handled effectively • Utilize a variety of tech tools such as ADP - Financial Services, Cisco Webex Meetings, Concur, CRM, Kronos Timekeeping System, About Time, Calendar Management, Microsoft Office SharePoint Server, Microsoft SharePoint Portal Server, and SharePoint Administration • Handle correspondence professionally and promptly • Proactively keep the CEO on schedule by reminding them of upcoming commitments and deadlines • Maintain accurate records and files related to the CEO's activities and schedule.

• Proficiency in ADP - Financial Services

• Experience with Cisco Webex Meetings

• Knowledge of Concur expense management system

• Familiarity with CRM systems

• Experience with Kronos Timekeeping System and About Time software

• Strong calendar management skills

• Excellent communication skills

• Ability to manage conference calls effectively

• Experience in handling business correspondence

• Proficiency in Microsoft Office SharePoint Server and Microsoft SharePoint Portal Server

• Experience in SharePoint Administration
