Oracle Administrative Assistant A3 in BENGALURU, India

Job Description

As an executive assistant and reporting to VP, you will support a large organization and manage the day-to-day administrative tasks, events, and critical meetings for executive leadership. You will support executive leadership team on cross-cutting collaboration programs and run on ground business activities with multiple stakeholder as mentioned below:

  • Associate Engagement: Organise on-the floor/virtual Associate Engagement activities, events (townhalls) and meet-ups for India Oracle Health and AI organisation.

  • Administrative: Travel support, expense management, visitor management.

  • Communication & Branding: Produce reports and presentations as needed for launching programs.

  • Recruitment Process: Coordinate with recruiting and hiring managers to organise program for new hires.

You will works on assignments that are moderately complex in nature where judgment is needed in resolving problems and making routine recommendations. Ability to work in a dynamic fast paced technology centred environment is a must. Proficiency in desktop applications such as MS Word, Excel, PowerPoint, email messaging tools, etc. will be important to be successful in this job. Other needed soft skills include good communication skills, quick learning abilities, proactive decision making and creative thinking.

Responsibilities

Spends 60% of time providing administrative support to relieve managers and staff of administrative details. Spends less than 20% of time on special projects. Spends less than 20% of time performing clerical duties.

Duties may include processing and tracking of purchase orders, expense reports, timecards. Arranges interviews and group events. Maintains organization charts and distribution lists. Creates spreadsheet models for forecasting. Implements space planning and group moves. Sets up new hire offices. Assists in the preparation of reports, graphs, and presentations using spreadsheet and graphic software. Makes domestic/international relocation/travel arrangements. Arranges internal/external meetings and catering needs. Acts as an information source on organization policies and procedures. Works with other administrative personnel.
