About the Position

The University Residences Housing Business Fiscal Specialist position is responsible for tracking expenses and the delinquent process; managing Meal Plans in StarRez and Transact. With general direction, this position will be responsible for approving P-Cards for the 10+ student hall treasurers. This position will also audit the department's website for accuracy. This position reports to a Fiscal Analyst 3. This position will be required to work on campus.

Responsibilities:

Administrative Duties – 20%

  • Cover front window, telephone, and office group email.

  • Opening, sorting, and delivering mail.

  • Update/revise various forms, documents, manuals.

  • Maintain area records - preparation and retrieval of archival documents.

  • Filing, organizing, and other various duties.

    Fiscal Duties – 40%

  • Tracking expenses & delinquency process - $1.9mm.

  • Prepare and maintain housing and dining financial statements.

  • Prepare receivable invoices - $400k to $500 weekly.

  • Manage meal plans in StarRez and Transact.

  • Analyze students’ records and accounts.

  • Process credits/charges to student WWU (Western Washington University) accounts.

  • Aid students with questions about their account.

  • Approve P-Cards for various Hall events 0 $10k yearly.

  • Interpret, advise, and implement institution policies and procedures related to the program.

  • Be a policy resource for RDs (Resident Director) and RAs (Resident Assistants).

  • Provide training for the new card users.

  • Prepare, review, monitor Hall staff budgets – $10k yearly.

  • Maintain P-Card user log.

  • Run monthly financial reports.

  • Release deposits - $625k yearly.

  • Assist Fiscal Analyst with various accounting projects as needed to support H&D operations - $55mm yearly revenue.

    Communications – 25%

  • Regularly Audit website and recommend edits.

  • Regularly, Monitor and review social media content, keep Director appraised of communications.

  • Initiate (bulk) communications in StarRez.

  • Create and manage timelines for communications.

  • Create flyers, posters, and external communications.

    Supervisor Duties – 10%

  • Supervise two work study students.

  • Maintain Team Staff / Student work schedules.

    Other Duties as needed – 5%

Required Qualifications• Three years of fiscal record keeping experience or equivalent education/experience.

• Two years of demonstrated excellent customer service work, including both written and verbal communication skills.

• Experience working with students and families in a higher education setting.

• Proficient in MS Office Suite (Word, Excels an, PowerPoint, Publisher, Outlook, Access, etc.).

• Demonstrated ability to meet timelines, attention to detail, accuracy, and ability to self-check work.

• Ability to work under pressure, prioritize deadlines and shift between projects quickly.

• Ability to work collaboratively in a small team environment.

• Demonstrated multicultural competence in working with and understanding the perspectives of diverse groups of people.

• Demonstrated experience navigating websites and a variety of social media platforms

Preferred Qualifications

• Familiarity with campus housing in a university setting.

• Supervisory experience, especially with student staff.

• Experience giving presentations or training.

• Ability to work autonomously and self-starter.

• Experience working in Transact, StarRez, Banner, and Millennium software.

Salary

$3,691 - $4,938/month depending on qualifications and experience.
