What You'll Be Doing

Job Scope: The Administrative Associate will play a crucial role in supporting the Technical Site Services (TSS) Department at the Beaumont site. The primary responsibilities of this role will include assisting with purchase requisitions for Capital Projects and Turnarounds (TARs), tracking progress against designated yearly Purchase Orders, supporting IT integration of new TSS employees and embedded engineering contractors, entering weekly/monthly time recharges for the engineering group, assisting with team meetings and events, and supporting site administration strategy/needs. Additionally, you will regularly participate in site administrator meetings to align on topics and priorities.

Primary responsibilities will include but are not limited to:

  • Track and monitor progress against designated yearly (framework) Purchase Orders

  • Create / Update Purchase Orders / Purchase Requisitions for (Operations) Dicamba, DMTA, FFP, Logistics, QC Lab and Non-Maintenance Work Orders.

  • Processing multiple invoices (workcycles) for the Site

  • Orders office supplies for (Operations) Dicamba, DMTA, FFP, Logistics and QC Lab

  • Manage daily planned work packages

  • Manage and distribute Turnaround work packages to crafts

  • Verify confirmation on Work Order Maintenance/TAR packages

  • Provide administrative support for team meetings and events

  • Orders lunches for scheduled meetings as needed

  • Assist with site administration strategy/needs as required

  • Receive Raw Material CoAs.

  • Scan all Raw Material data and attach to SAP ILC.

  • Change SAP ILC Short Text to vendor unique identifying Tank/Shipper/Lot number.

  • Delete duplicate inspection lots in ILC created by material movements and dashboard entries

  • Enter information from HCl CoA’s into ILC and file HCl CoA’s.

  • Scan and file all Final Product analysis data

  • File daily in-process lab data

  • Organize and maintain electronic files and remove old data files from file room as needed (after 10 years)

  • Scan and File TSR reports

  • Scan and file monthly outfall log sheets in environmental folder.

Ideal Background

Education: High School Diploma or equivalent is required. Advanced coursework is highly preferred.

Experience: Requires 6 or more years of experience in providing administrative support, preferably in an industrial engineering environment.

  • Knowledge and application of company standards.

  • Knowledge and application of office administration procedures.

  • Proficient in the use of Microsoft Word, Excel, PowerPoint and Outlook.

  • Proficient in the use of Newforma, Deltek Vision and other software as needed.

  • Extreme attention to detail.

  • Excellent proofreading and grammar.

  • Ability to communicate effectively, both verbal and written.

  • Ability to maintain confidentiality in all areas.

  • Ability to work in a fast paced environment with extreme multi-tasking.

  • Ability to prioritize effectively.

  • Ability to accurately develop reports.

  • Ability to maintain effective working relationships with teammates, clients, and vendors.

  • Ability to listen and ascertain the needs of leaders, teammates and clients, and proactively approach these needs to meet critical timelines.

  • Ability to find and communicate accurate information.

  • Ability to work flexible hours as needed.

Physical Requirements:

  • Ability to sit, stand or walk for long periods of time.
