Stock Technician:

Provide technical and administrative support within the Stock department, support descendent enrollment processes and the annual meeting preparation.

Responsibilities

Summary:

UIC’s Stock Technician is responsible for providing technical and administrative support for the Stock Director and VP of Shareholder Services.

  • Provide excellent customer service to shareholders via in-person; phone, email or by mail; daily.

  • Meet and greet shareholders on a daily basis; Monitor incoming calls/emails/faxes pertaining to shareholders; Respond to any and all shareholder needs/requests regarding stock forms.

  • Data analysis and entry to shareholder system and other miscellaneous shareholder spreadsheets; File shareholder correspondences and other confidential files after reviews/transfers are complete; Other duties as assigned (cover the receptionist when needed, man haul driver when needed),

  • Request information for gift and heirship cases.

  • Prepare, print, stuff, label various shareholder mail-outs throughout the year; Conduct home visits by request to shareholders who are not able to come into our offices.

  • Community event planning (events include: annual shareholder meetings, informational meetings, AFN convention, community picnics, spring festival)

  • Notarize documents for shareholders upon requests.

  • Assist in proxy; shareholder data entry and annual meeting mail-outs. Assist with descendent enrollment- Assist the Stock Department with data management and systems development.

  • Other duties as assigned.

• May require long hours during Annual Meeting Preparation

Qualifications

Required Experience:

Education and; Experience:

  • High school graduate or equivalent

  • One to three years; or equivalent training and experience combined Preferred Experience/Skills/Abilities:

  • Knowledge of principles and practices of office management.

  • Understanding of business operations for UIC Lands Department.

  • Ability to communicate effectively; both written and orally.

  • Ability to work productively with other staff members in various office situations.

  • Must be detail-oriented and organized; with good filing skills.

  • Ability to work with a high degree of independence and minimal supervision.

  • Understands Inupiaq language; and Inupiaq speaking preferred. Other requirements:

  • Must have a valid Alaska's Driver’s License.

  • Must be able to maintain a high level of confidentiality.

  • Must be computer literate with experience in using Microsoft Excel; Word; Access; and PowerPoint.

  • Must be bondable and able to obtain a Notary of the Public Commission certification from the State of Alaska.

  • Travel: Some traveling will be required.
