The PMO Coordinator is crucial in supporting the Project Management Office (PMO) by assisting in project management and administration. This pivotal role involves coordinating project activities, maintaining documentation, and ensuring adherence to PMO processes and standards. The PMO Coordinator's close collaboration with the EIT & ISC Security Head and team members is instrumental in ensuring projects are delivered efficiently and effectively.

Key Responsibilities:

  • Project Coordination:

  • Assist in developing and maintaining project plans, schedules, and timelines.

  • Coordinate project meetings, including scheduling, preparing agendas, and documenting minutes.

  • Track and monitor project progress, ensuring timelines and deliverables are met.

  • Documentation and Reporting:

  • Maintain comprehensive project documentation, including project charters, plans, status reports, and risk registers.

  • Prepare regular project status reports for project managers and stakeholders.

  • Ensure all project documentation is up-to-date and stored per PMO standards.

  • Communication:

  • Facilitate communication between project teams, stakeholders, and the PMO.

  • Serve as a point of contact for project-related inquiries and information.

  • Communicate project updates and changes to relevant parties.

  • Process Support:

  • Support the implementation of PMO processes, methodologies, and best practices.

  • Ensure projects comply with PMO standards and governance.

  • Assist in the development and continuous improvement of PMO tools and templates.

  • Risk and Issue Management:

  • Assist in identifying, documenting, and tracking project risks and issues.

  • Support the development and implementation of mitigation strategies.

  • Monitor the resolution of issues and escalate as necessary.

  • Training and Support:

  •  Assist in onboarding team members to PMO standards

  • Work with EIT & ISC Security head to manage Security activities & events

Qualifications:

  • Education:

  • Bachelor’s degree or higher

  • Experience:

  •  Previous experience in a project coordination or administrative role.

  • Experience in a PMO environment is preferred.

  • Skills:

  •  Strong organizational and time management skills

  • Excellent written and verbal communication skills.

  • Proficiency in project management software and tools (e.g., Microsoft Project, JIRA, Asana).

  • Detail-oriented with the ability to manage multiple tasks simultaneously.

  • Ability to work collaboratively in a team environment.

Additional Information:

  • This position may require occasional travel to various project sites.

  • Ability to work under pressure and handle challenging situations effectively.
