Kennedy Krieger Institute Scheduling Coordinator II in Baltimore, Maryland
Overview
The Scheduling Coordinator II will ensure timely, accurate, and complete scheduling services for patients. This position follows the established protocols considering availability, priority, and appropriateness when scheduling appointments for patients and providers.
Responsibilities
Tracks all new and follow-up patient appointments using the scheduling system, ensuring that appointments are confirmed and Epic charge estimates are provided verbally and in writing at the time of scheduling appointments. Schedule Certificate of Incapacity (COI) evaluation for patients who are or will soon be 18 years of age and considered a legal adult.
Creates appropriate Epic referrals for appointments to be scheduled.
Monitors all clinician leave requests, both planned and unexpected, and reassigns providers and/or reschedules patient appointments to ensure appropriate patient coverage. Communicates any coverage concerns immediately to supervisor and collaborate with supervisor to resolve concerns.
Tracks all cancellations and no shows for evaluation and treatment appointments using the scheduling system. Works with providers and administrative personnel to reschedule according to the patient’s needs and department policies and procedures. Works with providers and Care Centers to ensure proper scheduling related to the patient’s needs.
Oversees the maintenance of and updates to various Epic work queues (e.g., Epic waitlists, internal referrals, etc.) and related reports as needed.
Tracks and monitors ongoing Plans of Care to maintain accuracy of the schedule, track open times on the schedule, and help maintain the patient waiting list.
Monitors insurance benefit thresholds, facilitates the acquisition of authorizations, and gathers private insurance coverage information from the Patient Access department.
Provides routine financial counseling and seeks supervisor support to resolve patient issues.
Maintains regular contact with patients, clinics, and departments regarding pending insurance clearances, coverage, issues, and/or follow-up activity.Responds to patients, families, and clinic issues in a timely and professional manner based on the established department policies and procedures.
Logs all incoming/outgoing scheduling communication with outside providers, Kennedy Krieger Institute providers, patients, and families in the Epic Call Management system.
Builds, maintains, and modifies scheduling templates for providers in Epic as needed.
Completes intakes by obtaining and documenting patient clinical, demographic, and insurance information in Epic system. Communicates with appropriate clinical department staff for approval or appropriateness of intake. Finalizes the intake by communicating disposition to family and/or referral source.
Assists the supervisor with training new Scheduling Coordinators.
Qualifications
EDUCATION:
High School diploma or equivalent required.
Associates or higher degree in human services, healthcare administration, or related field preferred.
EXPERIENCE:
- Minimum 2-4 years of experience in registering, scheduling, and coordinating patient services required.
