Robert Half Legal Assistant in Baltimore, Maryland

Description We are in search of a Legal Assistant in the legal industry, situated in Baltimore, Maryland. This role offers a short-term contract employment opportunity. The Legal Assistant will be responsible for supporting attorneys, managing client intake processes, and handling a variety of administrative tasks. The successful candidate will have a strong understanding of litigation, e-filing, inbound and outbound calls, drafting legal documents, department mail, and mail distribution.

Responsibilities:

• Assist attorneys in managing their workload, ensuring all tasks and deadlines are met

• Oversee client intake processes to ensure timely onboarding of new clients

• Collaborate with attorneys and the billing team to manage billing processes proactively

• Work in tandem with attorneys to handle conflict clearance

• Utilize various software programs, including IntApp, NetDocs, and MS Office, to prepare correspondence and legal documents

• Format documents, including headers/footers, table of contents, and table of authorities

• Proofread documents to ensure they are free of typographical errors

• Communicate professionally, both verbally and in writing, with clients and coworkers

• Perform administrative tasks such as opening new matters, entering attorney time, and submitting invoices for payment

• Handle administrative tasks including preparing case files, filing correspondence (both paper and electronic), photocopying, scanning, and preparing packages for mailing

• Answer telephones and greet attorney guests. Requirements • Proficiency in drafting and reviewing legal documents is required

• Experience with e-Filing processes and systems is necessary

• Ability to handle inbound and outbound calls professionally

• Proficiency in litigation procedures and protocols

• Experience with department mail management

• Ability to distribute incoming mail effectively

• Proven track record in mail distribution

• Must have strong organizational and multitasking skills

• Exceptional communication and interpersonal skills

• Familiarity with legal terminology and principles

• Proficiency in using legal research software and tools

• Ability to work under pressure and meet tight deadlines

• Must maintain confidentiality and act with discretion at all times

• Strong attention to detail and problem-solving abilities

• Excellent time management skills

• A proactive approach to tasks and the ability to work independently.
