Job Title: Administrative Coordinator

Job Description

We are seeking a dedicated Administrative Coordinator to join our team. The ideal candidate will be responsible for coordinating planned and unplanned vacancies of the labor force, maintaining reports, and participating in both daily and annual budget planning. This role requires strong organizational skills, proficiency in Microsoft Excel, and experience in facilities or construction industry.

Responsibilities

  • Coordinate planned vacancies of the labor force and react to unplanned vacancies as required.

  • Report to the Housing Manager as necessary.

  • Understand and apply the Collective Bargaining Agreement.

  • Maintain reports and historical data via the CMMS and custodial management program.

  • Participate in daily budget planning as well as annual capital planning.

  • Purchase all source material as needed while complying with all purchasing guidelines.

  • Allocate and coordinate resources to complete work efficiently.

  • Determine work priorities and assign tasks appropriately.

Essential Skills

  • 2+ years of administrative experience within a facilities or construction industry.

  • Proficiency in Microsoft Excel and the Microsoft Office Suite.

  • Strong data entry skills.

  • Experience in facilities maintenance and administrative support.

Additional Skills & Qualifications

  • Experience with CMMS and custodial management programs.

  • Understanding of procurement processes within a university or large organization.

Work Environment

The work environment is a standard office setting with working hours from Monday to Friday, 7 AM to 4 PM or 8 AM to 5 PM. The office is located at 3339 N Charles Street. This position offers an opportunity to transition to a permanent role in an administrative capacity.
