Johns Hopkins University CRU PSC/Medical Assistant in Baltimore, Maryland

We are seeking a CRU PSC/Medical Assistant who knows the informal and formal department goals, standards, policies and procedures, which may include some familiarity of other departments within the school/division will handle administrative and clinical aspects of the participant encounter at the Institute for Clinical Translational Institute (ICTR), Adult Clinical Research Unit located on the East Baltimore Campus in Blalock 3.

Specific Duties & Responsibilities

Patient Service Coordinator Position Responsibilities 50%

  • Offer friendly, courteous, and confidential assistance to every participant to ensure that the participant has a positive experience while at the Institute for Clinical Translational Institute (ICTR), Adult Clinical Research Unit located on the East Baltimore Campus in Blalock 3.

  • Maintain accurate information on each participant to facilitate the patient encounter.

  • Use automated systems to expedite patient scheduling, pre-registration, check-in, and check-out, insurance and consent verification, and screenings.

  • Works with others in a team environment.

  • Approve/confirm CRU online visit requests. Schedule visits in EPIC and uses iLab to accurately enter participant’s visits for billing.

  • Work with JHH Admitting to coordinate Osler-5 in-patient admissions and schedule the visits in EPIC.

  • Work with study teams to obtain accurate pre-registration information.

  • Verify and enter pre-registration and insurance information into the computer system (if study visit includes standard of care procedures) and prepare daily printed schedules.

  • Proactively works to fill vacancies due to cancellations or add urgent appointments. Resolve any schedule conflicts in EPIC.

  • Carry out duties and responsibilities with limited supervision. Make decisions and establish work priorities on essentially procedure-oriented operations.

  • Arrange or assist in arranging patient transportation. Answer phones and provide routine information to callers.

  • Manage incoming and outgoing faxes.

Medical Assistant Responsibilities 50%

  • The Certified Medical Assistant (MA) has duties and responsibilities related to patient care in the ambulatory clinic environment.

  • Displays responsible behaviors, communicates effectively to others, and functions as a member of the healthcare team.

  • Functions under the direct supervision and authority of the physician when performing clinical tasks during patient care.

  • Reports to the Research Nurse Manager, who is responsible for administrative supervision, staff development, and orientation of the to the area’s policies and procedures.

  • Demonstrate competency in all skills related to the performance of patient care.

  • Demonstrates problem-solving skills as they relate to participant care activities.

Clinical

  • Participates in the care of the patient, under the direct supervision of the Physician and in collaboration with the healthcare team.

  • Collects patient information and assessment data.

  • Obtains and records patient’s vital signs: temperature, pulse, respiration, blood pressure, weight, and height in EPIC and completes study provided source documents.

  • Performs study-specific procedures, interviews, data collection.

  • Monitors patient status recognizing and reporting abnormal findings or changes in condition to study team and records on appropriate documentation forms in a timely manner.

  • Confirms and clarifies study orders before implementation of delegated tasks.

  • Maintains and uses principles of aseptic techniques and infection control when performing clinical duties and tasks.

  • Under clinical supervision, performs delegated procedures familiar to research in a safe, effective, and efficient manner according to Clinical Practice Policy and Procedures.

  • Assist study teams in identified patient procedures/treatments/examinations (preparation, positioning, supplies, equipment).

  • Proactively problem-solves and identifies solutions to barriers to safety.

  • Appropriately obtains and manages specimens, including labeling, form completion.

  • Performs quality control for point of care waived testing.

  • Recognizes emergencies and implements emergency procedures according to clinic guidelines.

  • Administers first aid, CPR and maintains emergency equipment and supplies.

  • Performs subcutaneous and intramuscular injections.

  • Performs phlebotomy, urine sample collection, and process lab samples.

  • Inserts peripheral IVs and obtain blood draws from IV access device.

  • Administer questionnaires and record data for investigators.

  • Enter data into established databases.

  • Serve as liaison between investigator and IRB for administrative matters.

  • Administer standard psychometric/ neuro-psychometric battery of tests, and score results.

  • Set up tools and procedures for data collection and study processes.

  • Prepares participants for and assist in clinical procedures

  • Perform ecgs.

Unit Operations: In close partnership with Health Care Team, Assures Smooth and Efficient Patient Flow and Clinical Operation.

  • Assists patients to the exam room and prepares patients for examination.

  • Assists patients in wheelchairs and stretchers with transfers to and from exam tables, procedure tables, and scales utilizing proper body mechanics and safety measures.

  • Identifies patients with special needs.

  • Stocks and maintains exam rooms and clinic areas with standard levels of supplies, medications, linens.

  • Recognizes patient care trends affecting unit supplies and notifies clinic manager.

  • Operates clinical equipment according to equipment procedures, including safety and quality control checks.

  • Checks clinic area and rooms for malfunctioning equipment and general maintenance problems regularly.

  • Reports findings to appropriate person or arrange for repairs as required.

  • Ensures that soiled linen, needle containers, and potentially infectious waste are appropriately disposed of and removed from the clinic and exam area according to the infection control guidelines.

  • Works with the healthcare team to assure smooth and efficient patient flow and clinical operation.

  • Assist with front desk duties, including but not limited to filing, scanning, clearing the fax machine and distributing documents appropriately.

Responsibility in Medical Assistant Role

  • Identifies self-learning needs related to job description and seeks out appropriate resources to meet learning needs.

  • Acts as a resource and preceptor for PSC/CNA Research Assistant and Medical Assistant

  • Participates in staff meetings by providing constructive input and facilitating problem-solving.

  • Identifies opportunities for performance improvement and provides input for the development of solutions.

  • Identifies and uses a variety of resources to validate participant care decisions.

Age Specific Care

  • Demonstrates the knowledge and skill necessary to provide care or service based on physical, psychosocial, educational, safety, and related criteria appropriate to the age of the patients served in her/his assigned service area.

  • The required skills and knowledge may be gained through education training or experience.

  • Adult: 18—64 years of age.

  • Geriatric: 65 and older.

Special Knowledge, Skills & Abilities

  • Requires successful interpersonal and communication skills with patients, families, physicians, and other health care team members in order to foster optimal quality of outpatient care.

  • Medical terminology.

  • Basic computer skills.

Technical Qualifications or Specialized Certifications

  • Certification in appropriate skills groups must be obtained during the introductory period.

Physical Requirements for the job

  • Sitting in a normal seated position in office setting.

  • Standing and/or walking for extended periods of time.

  • Lifting and/or assisting patients during evaluations within crowded clinical environment.

  • Reaching by extending hand(s) or arm(s) in any direction.

  • Finger dexterity required to manipulate objects with fingers rather than with whole hand(s) or arm(s), for example, using a keyboard.

  • Communication skills using the spoken word.

  • Ability to see within normal parameters.

  • Ability to hear within normal range.

  • Ability to move about.

Minimum Qualifications

  • High School Diploma or equivalent.

  • Certification/registration as a Medical Assistant (e.g. CMA, AAMA, RMA, AMT, NAHP) required.

  • If not currently certified/registered, must become certified/registered within 180 days (6 months) of date of hire.

  • One year work experience in customer service area required.

Preferred Qualifications

  • Experience working within a research setting.

  • Some college coursework.

  • Knowledge of medical insurance coverage.
