Lutheran Immigration and Refugee Service Contracts and Compliance Specialist in Baltimore, Maryland

Position Summary: Reporting to the Contract and Compliance Coordinator, the Contracts and Compliance Specialist will independently manage the curation and entry of sub-award agreements and financial compliance documents across all programs, ensuring accuracy and confidentiality. Utilizing advanced functions within the Salesforce constituent relationship management platform, the Contract and Compliance Assistant will handle communication with affiliates overseeing seamless data entry, export, and import operations. The position will analyze trends and conduct training on applicable topics.

    DUTIES

  • Independently and accurately enter affiliate information in Salesforce for government contracts. These include agency address and leadership information, descriptions, UEI and EINs, and signatories for contracts, administrators, and financial and compliance points of contact.

  • Independently produce affiliate correspondence including acknowledgments, emails, and requests for outstanding documentation.

  • Distribute program contracts to affiliates and Finance.

  • Demonstrate autonomy in adhering to Global Refuge policies and procedures when processing executed contracts, ensuring signature confirmation and the inclusion of necessary finance documents, such as affiliate budgets and FFATA details, as applicable.

  • Exercise independent oversight in maintaining electronic copies of contracts/agreements across federal, private, and independent contractor agreements, ensuring adherence to correct naming conventions, organizational setup, and appropriate filing structures.

  • Independently verify affiliate registration status for federal funding in Sam.gov, exhibiting meticulous attention to detail.

  • Responsibly address affiliate inquiries via the contracts and compliance inboxes for Finance and Program Administration.

  • Update and maintain the compliance matrix tracking all required financial compliance documents and leases for all affiliates.

  • Analyze data and provide feedback for possible process improvements to the Contract and Compliance Coordinator.

  • Update and maintain the standard operating procedure for the financial compliance process.

  • Train affiliates in the use of the Contract and Compliance portal on Connect.

  • Contributes to a work environment that encourages knowledge of respect for and development of skills to engage with those of other cultures or backgrounds.

  • Contribute to departmental projects and tasks as required.

  • Other tasks as assigned.

    QUALIFICATIONS

  • An undergraduate degree in a related field is preferred with two years of applicable work experience, or an equivalent combination of education and experience.

  • Proficiency in database administration, affiliate management, data imports and exports, developing reports, particularly Salesforce

  • Ability to navigate multiple computer systems, and applications, and utilize search tools to find information.

  • Proficiency in Microsoft Office: Outlook, Excel, Word, and PowerPoint.

  • Ability to organize and prioritize work, be proactive, take initiative, problem-solve, follow through, and manage multiple priorities.

  • Ability to work with complex, evolving issues and quickly develop expertise.

  • Possess analytical reasoning, the ability to interpret and evaluate complex information, while identifying patterns and essential issues.

  • Excellent verbal and written communication skills, especially in proofing document communications.

  • Ability to exercise utmost tact and diplomacy when dealing with confidential issues and ability to discern confidential issues.

  • Ability to navigate and collaborate with a diverse workforce.
