Johns Hopkins University Administrative Specialist in Baltimore, Maryland

The Department of Medicine is seeking an Administrative Specialist to provide complex administrative, project, and financial support to faculty and administration for the Division of Geriatric Medicine and Gerontology. The Administrative Specialist supports the Division Director by independently managing a variety of projects and applies an in-depth understanding of the division and its programs, and excellent writing and computer skills. This position exercises independent judgment in carrying out all elements of responsibility for a wide range of administrative matters and is pivotal in assisting the director and administrator in accomplishing the goals, strategies, and initiatives of the division.

Specific Duties & Responsibilities

  • Independently provides support with respect to division planning, policy development and strategy development, and makes recommendations accordingly to the Division Director and Administrator.

  • Develops, implements, and manages complex administrative systems, policies and procedures, and projects to support the work of the Division Director.

  • Uses various software applications, such as spreadsheets, relational databases, and statistical packages to create, compile, manipulate, and/or format data and/or reports

  • Represents various leadership at meetings and events, as requested

  • Supports the recruitment of faculty and other clinicians in the division.

  • Supports the development, writing, and preparation of presentations for internal and external audiences

  • Collaborates with the Division Administrator, Sr. Administrative Manager, the Grants Manager, and Sr. Financial Analyst

  • Directly responsible for the preparation and editing of Division summary, executive committee meeting, slides, manuscripts and reports as requested

  • Exercises administrative and financial judgment and assumes responsibility for decisions, consequences, and results having an impact on people, costs, and/or quality of service within the area

  • Communicates effectively and maintains positive courteous, supportive, and professional working relationships with all levels of contacts; contributes to the customer service-oriented atmosphere within the division to assist other functional areas when needed or requested.

  • Ability to prioritize workloads as needed to meet competing deadlines

  • Handles confidential information and files with discretion

  • Works with the Administrator and the Department Facilities Office to manage space assigned to the division

  • Other duties and special projects as assigned

Special Knowledge, Skills, & Abilities

  • Knowledge of personal computer software to include Word and Excel.

  • Outstanding interpersonal and communication skills, as well as excellent writing, editorial and typing skills.

  • Ability to handle sensitive and confidential situations.

  • Ability to communicate clearly, appropriately, and effectively with all levels.

  • Ability to act proactively and independently, exercise good judgment, and think creatively to manage programs and to resolve administrative procedural issues.

  • Knowledge of University policies and procedures as they relate to administrative process.

  • Analytic ability required to resolve problems.

  • Ability to understand and interpret data from other sources.

Minimum Qualifications

  • Bachelor's Degree.

  • Five years related experience providing high level support and expertise

  • Additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.

Starting Salary Range: $53,800 - $94,400 Annually ($72,500 targeted; Commensurate with experience)
