Description

Job Description: As an Administrative Assistant at Arvin Medical Clinic, you will play a vital role in ensuring the smooth operation of our office. You will be the first point of contact for patients and visitors, providing excellent customer service and ensuring a welcoming environment. Your organizational skills and attention to detail will be crucial in managing various administrative tasks and supporting our medical staff.

Responsibilities:

  • Front Desk Management: Greet and assist patients and visitors, answer phone calls, and direct them to the appropriate staff members.
  • Appointment Scheduling: Schedule and confirm patient appointments, maintain and update appointment calendars, and coordinate with medical staff to ensure timely patient flow.
  • Patient Assistance: Provide information to patients regarding clinic services, procedures, and policies. Assist patients with completing necessary forms and documentation.
  • Record Keeping: Manage and organize patient files and records, ensuring accuracy and confidentiality. Update electronic health records (EHR) as needed.
  • Correspondence: Handle incoming and outgoing mail, emails, and faxes. Prepare and distribute documents, reports, and correspondence as required.
  • Billing and Insurance: Assist with billing processes, verify patient insurance information, and handle insurance claims and inquiries.
  • Office Supplies and Inventory: Monitor and order office supplies, manage inventory, and ensure the office is well-stocked and organized.
  • Administrative Support: Provide administrative support to medical staff and management, including preparing meeting agendas, taking minutes, and coordinating office activities.
  • Compliance: Ensure compliance with office policies and healthcare regulations. Assist with maintaining a clean and safe office environment.
  • Other Duties: Perform additional administrative tasks and projects as assigned by the management.

Requirements

  • Education: High school diploma or equivalent is required. An associate degree or relevant certification in office administration or a related field is preferred.
  • Experience: Proven experience as an administrative assistant, receptionist, or in a similar role within a medical or healthcare setting.
  • Technical Skills: Proficient in MS Office (Word, Excel, Outlook). Experience with electronic health records (EHR) systems is a plus.
  • Communication Skills: Excellent verbal and written communication skills. Ability to interact professionally with patients, staff, and external partners.
  • Organizational Skills: Strong organizational and time management skills. Ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • Interpersonal Skills: Friendly, approachable, and patient-focused. Strong interpersonal skills to work effectively with diverse teams and patients.
  • Attention to Detail: High level of accuracy and attention to detail in managing records, scheduling, and handling correspondence.
  • Problem-Solving: Effective problem-solving skills and ability to handle difficult situations with professionalism and tact.
  • Confidentiality: Maintain confidentiality and discretion in handling sensitive patient information.
