Key Responsibilities :

Student Record Updates and Enrollment Processing 40%:

  • Processes registrar forms (examples: Schedule Adjustment forms, Special Processing forms, Name and Record Update forms, Change of Record forms, Late Withdrawal forms, Leave of Absence forms, Intercampus Enrollment forms, grades) and thoroughly checks all forms for accuracy, appropriate signatures, and deadlines prior to taking action.

  • Coordinates and processes batch enrollment requests in collaboration with the schools, colleges, and programs, and corrects errors with support and consultation from Registrar leadership, ensuring all overrides and corrections are thoroughly documented.

  • Validates student records for accuracy in the areas of enrollment, tuition classification, and/or program/plan configuration, leveraging applicable research and reporting tools.

  • Assists with duplicate record resolution.

Customer Service 25%:

  • Answers calls in the Registrar phone queue.

  • Provides in-person customer service for student walk-ins.

  • Helps manage and respond to emails in the Registrar email inbox, working collaboratively with Registrar colleagues to coordinate efforts and expectations.

  • Provides excellent and timely customer service in all transactions, whether by phone, email, in-person, MS Teams, Zoom, etc.

Transcript Orders, Enrollment Verifications, and Degree Verifications 20%:

  • Resolves open transcript orders in the transcript ordering platform.

  • Creates and maintains detailed documentation of transcript orders, procedures, and communications for record-keeping and audit trail purposes.

  • Processes enrollment verifications, deferment requests, and degree verifications by phone, email, in person, and through the Student Clearinghouse, while adhering to FERPA regulations and service level agreement timelines.

Administrative Support 15%:

  • Uploads and indexes forms and documentation into the document imaging system to substantiate all student record updates and ensure the institution is complying with both professional and institutional accreditation standards, university policies, and state and federal regulations.

  • Provides as-needed data entry and record validation support for residency/tuition classification processes, academic catalog, and graduation processing, and curriculum offerings to ensure accuracy.

  • Uses reporting/query tools for proactive outreach for the collection of missing grades and/or other data needs.

  • Adheres to university policies, academic regulations, and data privacy standards in the handling of student academic records.

  • Collaborates with the CU Denver Registrar's Office, CU system staff, and staff at CU Boulder and UCCS to coordinate processes that utilize shared software or business-processes, paying special attention to inseparable components between CU Anschutz and CU Denver.

  • Perform other Registrar Office duties may be assigned as appropriate to the level of position.

Preferred Qualifications:

  • Prior experience working in a Registrar's Office.

  • Prior experience working with PeopleSoft Campus Solutions or other student information software.

  • Experience maintaining confidential records.

  • Data entry experience.

The Registrar Specialist serves as the first point of contact for the Office of the Registrar. This position is responsible for managing and verifying student records, facilitating accurate and efficient registration processes, providing outstanding customer service through email, phone, and in-person interactions, and ensuring compliance with academic policies, deadlines, and state and federal regulations. Examples of work performed include evaluation and processing of registration forms, batch enrollment, enrollment and degree verification, basic troubleshooting of the registration and grading processes within the faculty and student portals, maintaining the transcript ordering platform and resolving open transcript orders, processing name and record updates, assisting with resolution of duplicate records, processing leaves of absence and university withdrawals, processing, uploading, and indexing documents into the document imaging system workflow to maintain accurate records for all changes made to student records, and providing applicable student, staff, and faculty resource information, including training staff on records and registration processes, to ensure complete customer service. Reports to the Senior Associate Registrar None
