Summary

The Quality Assurance Coordinator is responsible for the administration of all functions associated with the facility and regulatory requirements to ensure open borders. This position is required to assist with the preparation of QA and Regulatory documentation including facility audit, license renewals and maintain an accurate and complete records management system on all regulatory documentation. Ensure that all other data (SOP’s, regulatory updates, facility certifications) are entered into the regulatory database within the timeframes specified and that the files are appropriately updated and maintained. This position works out of Champion Petfoods’ pet food manufacturing facility, DogStar, in Auburn, KY, USA and reports to the Manager of Quality Assurance.

Job Duties

  • Responsible for completing new and renewal APHIS facility questionnaire applications for all export markets out of DogStar.

  • Reports to the Quality Assurance Manager with APHIS facility audits for all export markets.

  • Complete and maintain applications for import permits for the United States.

  • Establish and maintain tools to monitor all supplier facility approvals. Identify areas of efficiency with proposals to streamline permit workflows.

  • Release co-manufacturer’s products based on the test results for each lot from respective co-manufacturing partners.

  • Work closely with QA, R&I associates and co-man partners to resolve issues related to product releases.

  • Keep the co-man product release SOPs up to date in par with the changes required from time to time.

  • Coordinate and schedule sample collection(s) with Supply Chain for large scale production runs.

  • Schedule and collaborate with QA team to assemble samples and tests that are required for registrations.

  • Prepare documents for notary, authentication/apostille from the state of Kentucky, and legalization from Federal Government and International Consulates. This includes bank runs (e.g., certified cheques, money orders, etc.)

  • Support Ingredient Management department in documenting and maintaining the country of origin for all ingredient suppliers.

  • Filing, copying, and scanning of regulatory documents.

  • Update and maintain test results required for product registration.

  • Responsible in archiving and storage of historical regulatory records in-line with regulatory standards, and preparation and renewal of required permits to maintain product life cycle.

  • Update and maintain files in Regulatory SharePoint site, such as budget reports, product registration timelines, etc.

  • Collecting and shipping out samples for testing and production registrations.

  • Update and maintain test results required for product registration.

  • Other duties as assigned.

Requirements

  • Degree in Food Science or another related field within Bachelor of Sciences or commensurate experience may be substituted in lieu of a degree.

  • Good understanding of HACCP, food safety, and food production is an asset.

  • Self-motivated and ability to work well in a team, with problems solving skills and attention to detail.

  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple responsibilities simultaneously.

  • Demonstrate ability to build relationships and work collaboratively with various departments.

  • Ability to lead and coordinate meetings using visual meeting tools. This includes effective presentation and meeting skills.

  • Demonstrate the ability to work in a fast-paced, team-oriented and self-directed environment.

  • Able to effectively use Microsoft Office, particularly Microsoft Excel and Power Point.

  • Good interpersonal and persuasive communication skills, both verbal and written.

  • Fluent in English, both written and spoken. The ability to speak and understand other foreign languages will be an asset.

Work Conditions

  • Manual dexterity required to use desktop computer and peripherals.

  • Intermittent physical activity includes walking, standing, sitting for extended periods of time, and occasionally.

  • Travel may be required to our facilities in Canada.

  • Some extended hours of work may be required.
