Cooper Levenson is seeking a receptionist.
Overview: The Legal Receptionist serves as the first point of contact for clients and guests whether in-person or over the phone. The ideal candidate will have strong administrative, organizational, and interpersonal skills, with excellent phone etiquette to provide exceptional customer service in a legal office setting.
Responsibilities:
- Greets clients and visitors with a welcoming demeanor, directs them to the waiting area or scheduled conference room, and notifies appropriate parties of their arrival.
- Answers, screens, and forwards phone calls, on a multiline switchboard, in a courteous and professional manner.
- Takes clear and concise messages.
- Sends and responds to emails.
- Tracks and reports maintenance requests to building maintenance.
- Maintains a clean and organized reception desk.
- Performs administrative and clerical support tasks, including but not limited to: filing, printing, scanning, preparing letters, sending emails, preparing mailings, and other special projects, as assigned.
Qualifications:
- A minimum of 3 years prior experience as a legal receptionist.
- Familiarity with legal terminology and documents and prior experience as a legal secretary, helpful.
- Strong interpersonal skills with excellent phone etiquette and customer service skills.
- Excellent written and verbal communication skills.
- Professional in appearance and demeanor.
- Ability to multi-task and prioritize tasks effectively.
- Strong attention to detail to ensure accuracy in all work performed.
- Must have a high level of confidence and be able to remain calm under pressure.
- Ability to work independently and handle complex situations as they arise.
- Proficient with computers (Microsoft office suite).
- Must be responsible, dependable, and punctual.
