The Coca-Cola Company Executive Assistant in Atlanta, Georgia

Join the Coca-Cola Company, a global leader in the beverage industry, as we seek an Executive Administrative Assistant to become a part of our dynamic team. You will support the VP, Global Marketing and the Senior Director, PACS(Public Affairs, Communications & Sustainability) primarily and provide additional support to their team members, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently.

What You'll Do for Us:

  • Maintain and refine internal processes that support the Marketing and PACS teams and coordinate internal and external resources to expedite workflows.

  • Manage communication with employees and McDonald's stakeholders by liaising with internal and external leaders on various projects and tasks.

  • Plan and orchestrate work to ensure that leadership team priorities are met, organizational goals are achieved, and best practices are upheld

  • Responsible for scheduling and managing calendars including prioritizing and resolving related conflicts, proactively scheduling important meetings with internal and external individuals, and maintaining an organized office.

  • Organize and coordinate travel and related requirements to include travel authorizations, flight tickets, hotel bookings, visas, airport transfers, expense reports; ensure that all travel arrangements are compliant with the Company's Travel Policy.

  • Manage planning for key function routines, such as leadership team meetings, business planning, customer hospitality events, etc.

  • Provide support in arranging meetings including coordinating the agenda, collaboration of presentations/information, handling logistics, such as conference registrations, room reservations (internal and external), and local travel.  Also, provides hospitality for Senior Management or guests of the department which may include planning, arranging, and confirming all local logistics support.

  • Perform general administration and logistics duties, including, but not limited to, scanning, copying, emailing, filing, and data entry; collect and open mail; completes various forms, including purchase requisitions, shipping requests, travel expense reports, requests for payment, consultancy agreements, maintaining multiple stakeholder group address lists, etc.

  • Organize team communications and plan events, both internally and off-site

  • Contribute to the excellent reputation of The Coca-Cola Company through professional, friendly, and respectful interactions internally and externally. Perform other duties as required and/or assigned.

  • Maintain professionalism and strict confidentiality with all materials

Position Details:

Location: Atlanta, Georgia

Hybrid work schedule - 3 days per week in person and 2 days virtual

Individual contributor role - no direct reports

Qualifications & Requirements:

  • College/university degree in Business, Communications, or similar fields preferred.

  • Support experience in a professional services, sales, or marketing environment.

  • At least 5 years of experience in a high-level support role reporting directly to upper management.

  • Must have proven ability to be a resourceful problem-solver.

  • Experience in coordinating projects.

  • Intermediate knowledge of MS Office, including Word, Excel, PowerPoint, Teams and Outlook

  • Strong attention to detail, interpersonal, and communication skills are highly required.

  • Excellent time management and organizational skills to meet deadlines are needed.

  • Experience scheduling travel arrangements and schedule for management.

  • Experience successfully creating and/or modifying processes.

  • Experience in overseeing budgets and expenses.

  • Flexible team player, willing to adapt to changes and unafraid of challenges.

  • Ability to maintain confidentiality of information related to the company and its employees.

  • Aptitude for learning new software and systems and proficiency with office productivity tools (Microsoft Office, Executive support, Database, Expense Reporting, Office Management, Travel Coordination, Grammar, Workflows, Microsoft SharePoint, Payroll, Computer Applications, Data Collection, Purchase Orders, Administrative tasks)
