About our opportunity:

The City of Asheville is seeking qualified applicants for the position of Administrative Assistant II in the Capital Management department. Capital Management oversees the planning, design, and construction of city infrastructure projects, ensuring efficient and sustainable development. This position provides specialized administrative support to the department, including financial processing, recordkeeping, and customer service.

What you’ll be doing:

  • Serving as a liaison between the department and other city divisions, officials, and external organizations.

  • Managing departmental human resources functions, including payroll processing, timekeeping, and employee records maintenance.

  • Providing administrative support to management and staff, including scheduling meetings, handling correspondence, and coordinating travel arrangements.

  • Processing financial documentation such as invoices, purchase orders, and budgetary records.

  • Assisting with budget preparation, tracking expenditures, and reconciling financial reports.

  • Handling purchasing processes, including reviewing requisitions, obtaining quotes, and maintaining records.

  • Receiving, sorting, and distributing incoming and outgoing mail, faxes, and documentation.

  • Performing customer service functions by responding to inquiries, providing assistance, and resolving routine complaints.

  • Managing and maintaining departmental records, files, and databases to ensure accuracy and compliance.

  • Supporting general office operations, including ordering supplies and maintaining office equipment.

    Benefits:

  • Salary: $21.39 - $23.53 Hourly

    About you:

    We know your time is valuable. Applicants who meet the following minimum requirements or have comparable experience and/or education will be considered:

  • Three years of administrative support experience plus a High School Diploma/GED

    Performance aptitudes:

  • Strong organizational skills with the ability to manage multiple priorities.

  • Excellent communication and interpersonal abilities.

  • Proficiency in Microsoft Office Suite, Google Suite, and other administrative software.

  • Ability to analyze and process financial and budgetary data accurately.

  • Commitment to providing high-quality customer service.

    Physical requirements:

  • Tasks involve the ability to exert light physical effort, including standing, walking, and occasional lifting of materials up to 20 pounds.

  • Work is performed in a standard office environment with extended periods of computer use.

  • Work Schedule: Monday - Friday, 8:30am to 5:00pm.
