Job Summary

The College of Liberal Arts Executive Assistant to the Dean provides a wide range of complex, front-line customer service-oriented administrative services to support the Dean and the Office of the Dean. They perform the duties of this position with little or no direction within a clear framework of accountability and exercise substantial personal responsibility and accountability to deliver results. Fully aware of the Dean’s schedule and priorities, including travel commitments and speaking engagements, they are alert to potential scheduling conflicts and priorities and comfortable making rapid changes to arrangements. They have an exceptional ability to manage complex situations as they arise, while maintaining utmost confidentiality of Faculty records and discussions. They lead administrative staff within the Dean’s office and provide administrative support of faculty appointments, tenure and promotion procedures and the annual performance review and salary increase processes. They serve as coordinator for the Curriculum Committee and other activities on the Dean’s behalf and liaise with senior management across the college and university leadership, and the community, including donors, and local, national, and international visitors, government offices, and local communities’ organizations.

Essential Duties and Responsibilities

  • Manage and coordinate the Dean’s calendar, arrange travel schedule meetings, take minutes.

  • Answer calls and welcome visitors, make appointments, provide information when appropriate and act as liaison for the Dean.

  • Maintain and reconcile budget/financial statements and personnel transactions, requisitions, Pro Cards, inventory and asset management, Dean’s office staff vacation and sick leave, annual space inventory and key audit according to established policies and deadlines.

  • Track and process faculty reviews in Digital Measures.

  • Manage project & event deadlines and communications for the department.

  • Coordinate catering, meeting logistics and agendas for events, staff meetings and luncheons.

  • Compose briefings and correspondence. Proofread documents for review and/or official signature.

  • Handle confidential and sensitive materials and conduct related research as necessary

  • Manages inquiries directed to the executive; determines the proper course of action and collaborates with the appropriate individual(s) to formulate the responses.

  • Retain files according to records retention policy.

  • Order supplies and office equipment. Submit maintenance/help desk requests as needed.

  • May submit forms for various employee actions.

  • Performs other duties assigned.

Minimum Qualifications

  • Associate degree with a minimum of five (5) years increasingly responsible administrative experience or an equivalent combination of education and experience.

  • Supervisory experience.

Preferred Qualifications

  • Bachelor’s degree or equivalent with five (5) or more years of increasingly responsible ​administrative experience.

  • Experience in higher education, PeopleSoft, and/or UT Systems applications.

Knowledge, Skills and Abilities

  • Knowledge of digital tools.

  • Demonstrated financial understanding of budget management.

  • Proven administrative and Microsoft Office skills

  • must be highly proficient in 365 apps including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.

  • Excellent oral and written communication skills.

  • Ability to ​multitask​, organize, prioritize and work with initiative both independently and within a team environment.

  • Attention to details, decision-making and problem-solving skills.

  • Ability to maintain a high degree of confidentiality.
