Position Description The Anoka County Finance Department mission is to enrich our community by providing quality services and assuring financial integrity. The Finance Department is seeking a full-time Senior Administrative Assistant, who will provide centralized control and management for the department's operational and secretarial needs. Additional responsibilities include general office management, such as record keeping, purchasing and financial activities, clerical and secretarial support, and coordinating special projects. This is a full-time, non-exempt, on-siteposition. First interviews will take place the week of November 11th, 2024, with second interviews beginning the week of November 18th, 2024 for those selected to move forward in the hiring process. Pay & Benefits Salary: $54,017 to $63,460 ($25.97 to $30.51 per hour). 2024 Anoka County Salary Schedule Grade 30: $54,017 to $72,904 ($25.97 to $35.05 per hour). 24 days of paid flexible time off and up to 12.5 paid holidays. Advancement/professional development opportunities. Work Location This position will work at the Anoka County Government Center, located at 2100 3rd Ave, Anoka, MN 55303. Expected work hours are Monday - Friday, 8:00 a.m. - 4:30 p.m. Job Duties and Responsibilities These examples are not all inclusive and are intended to be illustrative of primary responsibilities of an Anoka County Senior Administrative Assistant. Provide administrative support for the Finance Department and the office of the CFO. Serve as a first point of contact for the Finance Department by answering phones, assisting walk-in guests, and answering, resolving, or directing inquiries made directly to the Department. Handle accounting related functions, such as payment receipt in the form of cash, check, money order, and/or credit cards, calculate change and issue receipts, track expenditures, and process check requests. Maintain department office supplies, equipment, and materials. Maintain policy and procedure manuals. Receive and process incoming correspondence, deliveries, and outgoing mail. Enter data into various systems and monitor division email. Translate concerns and requests for information into clear and accurate responses. Prepare and distribute agendas and material for meetings, conferences, public hearings; may take dictation, transcribe minutes, and maintain official records. Prepare key department reports, documents and presentations as needed. Coordinate and manage updates to department related intranet and internet pages. Maintain appropriate confidentiality. Provide leadership, coaching, and/or mentoring to a subordinate group as assigned. Qualifications and Requirements: Minimum Knowledge, Skills, and Abilities Needed Requires a high school diploma and at least 4 years (2,080 annual hours) of job-related experience. In lieu of the required education, an equivalent combination of education and experience may be sub tituted on a year-for-year basis. Successfully pass criminal history background check. Preferred Knowledge, Skills, and Abilities Needed Proficient in Microsoft Office Programs (Outlook, Word, Excel, PowerPoint, and Visio) and Adobe Pro. Ability to organize, prioritize, and coordinate workflows. General understanding of general office procedures. Strong written and verbal communication skills. Ability to handle multiple tasks simultaneously with frequent interruption. Accounting and procurement experience. Electronic signature experience. Supervisor or team lead experience. Physical Demands and Work Conditions Standard office environment. Vision abilities required by this job include close vision, distance vision, and the ability to adjust focus, such as to work on computers. Ability to see colors, shades, and brightness. Hearing abilities required for general and phone communication, signals, and machine sounds. Assignments are sedentary, occasionally alternating between sitting, standing, walking, crouching, and kneeling as required to perform job responsibilities. Frequent wrist and finger manipulation to complete computer work. Occasional lifting of 10-20 lbs. Equipment used includes computers, phones, and standard office equipment. Occasional travel to other county work sites as needed. Travel between work sites may require driving a county vehicle and/or a personal vehicle.
