Administrative Assistant II (Grade 10)

The Maryland Department of Transportation Motor Vehicle Administration (MDOT MVA) Office of Human Resources and Organizational Development is looking for a team member with creative ideas and premier customer service.

The Administrative Assistant will support the Organizational Development team to ensure the smooth operation of training programs, classes, training room logistics, record keeping and Learning Management System (LMS) management.

Responsibilities included but not limited to the following:

  • Serving as point of contact for training participants, answering queries via phone, email, or in-person

  • Preparing, organizing, and maintaing training materials, including handouts, manuals, and electronic resources

  • Assisting with the setup for virtual an in-person training environment by ensuring all necessary technology and materials are in place

  • Assisting participants with accessing and navigating the LMS, including troubleshooting common issues

  • Updating rosters in Learning Management System (LMS) by adding new participants, removing those who are no longer attending

  • Serving as a backup to the Front Desk associate as needed

Qualifications

MINIMUM QUALIFICATIONS:

EDUCATION: Graduation from a standard high school or possession of a high school equivalency certificate.

EXPERIENCE: Three (3) years of secretarial or clerical* work experience involving typing or stenographic duties. *Two (2) year's experience working in Human Resources or training environment.

*Selective Qualification recruitments are utilized when the position requires specific or

additional bona fide occupational qualifications (knowledge, skill, or ability). No substitution is allowed for a selective qualification.

Please note that secretarial/clerical work must be the primary function of the job to be considered as qualifying experience.

*Secretarial work is defined as work that consists of supporting/assisting one or more employees, or unit/department. Clerical work is defined as work that involves conducting general office duties.

NOTES:

  1. Applicants may substitute additional secretarial or clerical experience on a year for year basis for the required education.

  2. Applicants may substitute an AA degree with a major in Secretarial Science from an accredited college for up to two years of the required experience.

  3. U.S. Armed Forces military service experience as defined under the Minimum Qualifications may be substituted for the required education and experience on a year-for-year basis.
