Job Summary

Contributes to the efficient inventory and distribution of products to satisfy patient order fulfillment and delivery of products, supplies, and equipment in a pharmacy setting. Collaborates with other staff members to ensure customer satisfaction and accuracy of records. Provides surveillance of and communicates inventory ordering needs for items and quantities. Other responsibilities include monitoring inventory levels to ensure accuracy, properly managing outdated products, investigating, and facilitating recalls and resolution thereof, assisting in the management of shortages and resolution thereof, receiving inventory, stocking shelves, processing & tracking invoices, and physically performing inventory reconciliation. Adheres to all inventory and shipment documentation requirements and tracking of documentation as stipulated by 3rd party payers, contracts, regulatory entities and policy & procedure. Accurately and completely tracks and records any required environmental monitoring parameters for a warehouse containing patient products. Duties and tasks are varied and may be somewhat complex. Resolves most questions and problems and refers only the most complex issues to higher levels. Works under minimal supervision. Under FLSA, incumbents in this position are nonexempt.

Responsibilities*

Essential:

  • Complete inventory management tasks necessary to ensure product is available and ready to be selected for fulfillment of orders throughout daily operations.

  • Contribute to best price acquisition using established procurement pathways in accordance with UMH and department policy, procedure, and practice.

  • Participates in the analysis of quotations received, selects, or recommends suppliers, and collaborates to achieve efficient delivery schedules of incoming and outgoing product.

  • Contributes to proof of delivery reconciliation, complete and accurate documentation, tracking, and reporting.

  • Reviews and reconciles invoices for orders placed.

  • Contribute to patient safety by ensuring product is in date, of validated pedigree, and stocked in accordance with high alert, look-alike, sound-alike, and hazardous substance handling procedures and/or practices.

  • Complete all product receiving functions and financial reconciliation for inventory procured in an accurate and timely manner.

  • Process all inventory returns in accordance with federal, state, and health system rules and regulations.

  • Communicate all product shortages & recalls; work effectively and collaboratively to resolve product shortages and recalls with safe and efficacious substitutions / alternatives.

  • Responsible for contributing to the evaluation of contracts and contract pricing, identifying potential for cost containment and cost savings, preparing area activity and financial metrics for data reporting.

  • Develops and maintains necessary records and files for efficient operation.

Other Related Duties:

  • Complies with all University of Michigan Health System and departmental standards and expectations.

  • Supports the department's commitment to continuous improvement activities and principles through positive and respectful contribution in all problem-solving and change processes.

  • Collaborate and communicate with coworkers effectively through direct interaction with pharmacy technicians, pharmacists, nurses and dietitians, home care service technicians, and department and enterprise staff.

  • Maximize work efficiency using computers and other technologies as evidenced by proficient skill in accessing and entering accurate information necessary to perform job functions. Maintain & contribute to accurate, updated, and comprehensive inventory software files.

  • Maintain confidentiality of patient and proprietary information by observing legal and ethical guidelines for safeguarding the confidentiality of patient and proprietary information.

  • Adhere to alternating shift, day, weekend, and holiday rotation work assignments.

  • Maintain competency in all job functions and remain competent to provide cross coverage for other warehouse / shipping functions routinely performed by pharmacy technicians.

  • Participates in department committees and work teams as assigned.

  • Performs other duties as assigned.

Required Qualifications*

  • Intermediate: Minimum of 2 years experience in inventory management

  • Associate: 0-2 years experience in inventory management

  • Forklift/Hi-Lo operator license, or ability to attain certification within 3 months of hire.

  • Competency with Microsoft Office applications including Outlook, Teams, Word, Excel, and PowerPoint.

  • This position requires the ability to lift 50 lbs. and applicants for this position should be prepared for tasks that involve extended periods of standing and mobility throughout the workday.

Required physical qualifications:

The employee will be able to perform the assigned duties and responsibilities with or without reasonable accommodations:

  • Ability to read, write, speak, and comprehend the English language.

  • Functional visual acuity and hearing for accurate assessment.

  • Manual dexterity to perform required procedures and activities proficiently and safely.

  • Ability to lift 50 lbs.

Desired Qualifications*

  • A minimum of one year of experience in a pharmacy setting.

  • Computer / keyboard data entry skills and experience

  • Knowledge of medical terminology
