Job Summary

TheTaubman College of Architecture and Urban Planning (http://taubmancollege.umich.edu/) is hiring an assistant who will report to the assistant dean of advancement. You will provide confidential and responsible administrative support to the assistant dean, and anticipate and implement the administrative activities of the advancement team(our organizational chart (https://drive.google.com/file/d/1_qLuMmlTc4zbKiLs7HQ78cde38jccvJU/view?usp=sharing) ). Characteristic responsibilities may change over time to reflect the evolving priorities of the assistant dean. You possess excellent judgment and have effective written and oral communication skills.

This job is situated onsite in Ann Arbor and in-person work is expected five days a week, with a few offsite weeks throughout the academic year and an offsite period from mid-May to mid-August.

Responsibilities*

  • Manage the assistant dean's schedule and provide support to achieve goals.

  • Provide comprehensive meeting support to the assistant dean. Manage calendars, schedule meetings and coordinate event logistics.

  • Prepare and proofread briefing notes, correspondence, agendas, meeting minutes, reports and other documents using correct grammar, punctuation, and spelling.

  • Help with arrangements for the Dean's Advisory Board and high-level donor visits including drafting itineraries, scheduling meetings/appointments and arranging parking.

  • Provide excellent project management for special projects that the assistant dean undertakes, including overall coordination and schedule for project plans, tracking and documentation.

  • Perform independent research and prepare information for special projects including complex documents and spreadsheets. Prepare data visualization and presentations with PowerPoint and Excel.

  • Initiate regular reports using Business Objects and Access databases, analyze data, and maintain accurate and current records including contact reports and individual development and stewardship plans in university's donor and alumni database (DART).

  • Coordinate travel arrangements including trip itineraries; air, hotel and car reservations; and directions.

  • Handle all aspects of P-Card reconciliation and expense reports for multiple members of the advancement team.

  • Screen and route incoming calls for the assistant dean, and provide telephone coverage for others. Provide routine office support including mail distribution, filing, copying, scanning and fax.

  • Provide additional support which includes assisting at college events, supporting regional donor events, coordinating briefing materials, and drafting/tracking gift agreements.

  • Provide excellent service to visitors, donors, alumni, faculty and staff.

  • Through collegial consultation and cooperation, demonstrate and be a model of collaboration across the university, while representing Taubman College values and its unique role at the University of Michigan.

Required Qualifications*

  • Bachelor's degree or an equivalent combination of education and experience

  • 5 years of progressive administrative support experience producing accurate work

  • Excellent skills in Excel, PowerPoint, and Word as well as Google suite software, experience with database systems highly desired

  • Ability to manage competing priorities and manage multiple assignments

  • Strong problem solving and interpersonal skills

Additional Information

The salary range for this position is $60,000 - $70,000. Factors used to determine salary include experience, knowledge and skills for the position. You are encouraged to discuss salary questions to honor transparency throughout the recruiting process.
